Change Management Specialist


Job Details

We are seeking a Change Management Specialist to oversee the transformation and implementation of a new payroll system and new ways of working within our organization.


The ideal candidate will be responsible for driving the adoption of the new system among entity leaders, HR, and employees, ensuring smooth transition, and minimizing resistance to change.


This role requires strong communication, stakeholder management, and project coordination skills.


Responsibilities:

  1. Develop a comprehensive change management strategy tailored to the payroll project, including communication plans, training programs, and stakeholder engagement activities.
  2. Collaborate with project managers and key stakeholders to understand project goals, timelines, and potential impacts on processes, businesses and employees.
  3. Assess the organization's readiness for change and identify potential barriers to adoption.
  4. Create and deliver engaging communication materials to inform management about the upcoming changes, including emails, presentations, and FAQs.
  5. Coordinate training sessions and workshops to equip employees with the skills and knowledge needed to adopt change effectively.
  6. Provide ongoing support to the businesses during the transition period, addressing concerns and troubleshooting issues as they arise.
  7. Partner with HR, Finance, and other departments to ensure alignment between the payroll project and broader organizational objectives.
  8. Monitor and measure the effectiveness of change management initiatives, gathering feedback and making adjustments as necessary.
  9. Act as a liaison between the various entities and project teams, facilitating communication and managing expectations on both sides.
  10. Document lessons learned and best practices for future change management efforts within the organization.
  11. Demonstrate a growth mindset by embracing challenges as opportunities for learning and development.
  12. Cultivate a culture of curiosity and experimentation, encouraging team members to explore new ideas and technologies.
  13. Exhibit resilience in the face of setbacks, maintaining a positive attitude and finding creative solutions to overcome obstacles.

Requirements:

  1. Bachelor's degree in business administration, human resources, or a related field.
  2. Proven experience in change management, preferably within the context of HR or payroll projects.
  3. Strong communication skills, with the ability to articulate complex concepts in a clear and compelling manner.
  4. Excellent stakeholder management skills, with the ability to build relationships and influence others at all levels of the organization.
  5. Project management experience, including the ability to coordinate multiple tasks and meet tight deadlines.
  6. Familiarity with change management methodologies and tools, such as Prosci ADKAR or Kotter's 8-Step Process.
  7. Flexibility and adaptability in a fast-paced environment, with a willingness to adjust strategies based on feedback and changing circumstances.
  8. Strong problem-solving skills, with the ability to anticipate issues and proactively address them.
  9. Experience working with payroll systems or other HR technology solutions.
  • Certification in change management (e.g., Prosci Certified Change Practitioner) is desirable.
