JOB DESCRIPTION:

  • Candidate Requirements
    Years of Experience Required: 5+ overall years of experience in the field.
    Degrees or certifications required: No degrees are required to be eligible for this role. However, the having holding a degree with analyst or business management is strong nice to have.
    Disqualifiers: Candidates who have been in an executive admin role for 15+ years of experience will not be considered. The team is looking for someone who is newer and looking to grow.
    Best vs. Average: The ideal candidate will be someone who is open to change and flexible.
    Performance Indicators: Performance will be assessed based on work accuracy and ability to meet deliverables.

    Top 3 Hard Skills Required + Years of Experience
    1.) Minimum 5+ years experience with communication skills
    2.) Minimum 5+ years experience with project management / project coordination
    3.) Minimum 5+ years experience with Strong analyst skills PowerBI and Excel

    Expected Dates that Hard Skills Assessments will be scheduled: ASAP
    Hard Skills Assessment Process: The assessment process will include 2 rounds. First will be with team member and 2nd with manger. Both will be 30-45minutes long.
    Required Candidate Preparation: Candidates should have general preparedness prior to the assessment.

    Summary:
    Performs a variety of complex administrative functions for all levels of management including external business partners. Manages schedule(s), coordinates travel arrangements and processes business expenses. Coordinates meetings and events, department financial operations, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office support. Serves as the department/group contact. Completes special projects as assigned.

    The Business admin will perform the following duties.
    1. Maintain a balanced work schedule by working from the office around 80% of the time (Redmond offices), ensuring effective in-person and remote collaboration and engagement.
    2. Participate in directors' calls, attentively listen in, and document minutes and action items, diligently tracking progress with stakeholders. Establish a consistent briefing rhythm with the directors to keep them updated on key developments and milestones.
    3. Efficiently manage the calendars of two directors in the Americas region.
    4. Assist in planning and executing travel activities for the directors.
    5. Utilize tools, such as MSExpense, to effectively manage expenses for the two Americas directors.
    6. Gain deep understanding of the goals and strategies of the Americas Directors, ensuring alignment of team activities with their objectives.
    7. Track and ensure completion of essential role-based compliance trainings, as well as actively collaborate on vital culture initiatives like Diversity and Inclusion (D&I), hiring, and onboarding.
    8. Contribute to cross-team projects to adapt and thrive in the ever-evolving business landscape.
    9. Take full ownership and execute management team off-site events, including crafting impactful content, organizing sessions, and coordinating travel arrangements when necessary.
    10. Collaborate closely with team members to effectively deliver internal content, skillfully gathering information to create compelling storytelling materials that effectively articulate strategies, results, and goals for internal and external forums.
    11. Plan and execute on team communication rhythm like All-Hands, Quarterly Team Calls, Roundtable Meetings with team members.
    12. Analyze performance metrics to support team accountability in executing core business activities, driving continuous improvement and success.
    13. Provide invaluable support for day-to-day operations and planning, ensuring seamless continuity of business operations during times of change or special circumstances.
    14. Manage and cultivate relationships with leaders and peers within internal teams, establishing yourself as a trusted partner.
    15. Leverage existing networks and actively build new connections to foster robust relationships that drive successful execution across the organization.
    16. Support the directors in effectively communicating key goals, priorities, and definitions, ensuring clear and consistent messaging.
    17. Offer valuable perspective and insights to the directors on specific areas within the organization, including communications, budgets, people management, and team dynamics.
    18. Provide support for the successful implementation of organizational changes, such as employee data management and skilling plans.
    19. Contribute to cross-team projects, leveraging your expertise and engaging in project management efforts as needed.
    20. Through engagement, actively foster an environment that promotes collaboration and teamwork among the geographically dispersed and hybrid management team
