**Purpose**

To provide support for the co-op's overall goals of growth and development by working with the IT Database Specialist to endure inventory database integrity and data in the inventory management system. To ensure accountability for receiving paperwork, pricing and security of inventory, and to ensure receiving areas maintained in clean, orderly condition.

**Essential Responsibilities and Functions**

**RECEIVING, PURCHASING & PRICING**

- Works with merchants to set up new inventory items in the point of sale system prior to order and delivery.

- Responsible for receiving all products into the inventory management system.

- Checks packing slips/invoices of deliveries, and notes discrepancies to the appropriate department manager or buyer.

- Check in loads properly and verify current pricing and piece count to invoice.

- Supervise breaking down of larger loads to distribute to various departments.

- Processes receipt of invoices and passes them on to the finance department.

- Notes/reports if items are delivered in subpar/unsellable condition and checks invoices against products delivered.

- In absence of department head, see that un-saleable items are written off and disposed of properly

- Works with Retail Manager and Coordinators to ensure reception of orders and obtain credits from suppliers.

- Prepare storage areas for incoming deliveries.

- Coordinate organization, cleaning and securing receiving area upon end of shift.

- Direct unloading for most efficient use of labor.

- Expedite stocking of incoming overstock items

- Rotate overstock into storage in an orderly fashion

- Maintain approximate floor plan in storage area, using location signs as needed

- Responsible for safety awareness and utilizing safe work practices at all times

- Pulls product, installs signage and follows up with vendors (credits, etc) regarding product recalls.

- Ensures that unsellable items are recorded and returned or disposed of following established procedures.

- Maintains accurate pricing for profitability. Works with merchants and Sales and Operations Manager to ensure accurate costs, margins and data in the Point of Sale (POS) system, based on predetermined margins.

- Supports ordering through the inventory management system, ECRS.

- Completes periodic inventory counts, 4 times/year.

- Conducts monthly Basics Program audits

- Conducts margin audits regularly

**MERCHANDISING & PROMOTIONS**

- Supports buyers through pricing changes and occurrences such as Flash Sales, price changes and new item entry

- Supports strategic or replenishment purchases as directed.

- Coordinates area floor plan with Manger and Coordinators, and strategically utilizes end-caps and display areas.

- Supports POS entry associated with category resets according to store wide plans.

- Supports ordering of sufficient merchandise to stock sets for duration of display

- Works with Marketing and Sales and Operations Manager to ensure accurate, up-to-date product signage is available.

- Attends trade shows as assigned; reads industry and trade journals.

- Visits other stores for receiving, price comparison, product and merchandising ideas.

- Provides product information to customers, staff, and submits periodic department-related articles to the Co-ops newsletter, e-news, website, etc.

**DEPARTMENT OPERATIONS**

- Works with all levels of Co-op staff in a manner that supports department financial performance.

- Takes training as designed for the position, and suggests and oversees training plans for staff to support receiving.

- Keeps accurate records.

- Follow or develop receiving SOPs to verify quantity, quality and accuracy of orders received.

- Keep price-marking and case-cutting equipment in working order.

- Manages cash operations at registers or customer service as assigned.

- Ensures that department areas (coolers, aisles, shelves, bins and storage areas) are in clean, orderly condition meeting Health Department and customer service standards.

- Takes the lead on receiving deliveries.

**OPERATIONS MANAGEMENT**

- Attends meetings as assigned.

- Accountable for departmental and store-wide communication practices.

- Role models and utilizes systems/processes that streamline efficiencies within the Co-op; accepts changes, and adapts to the changing needs of the business.

- Maintains correspondence with staff, vendors, customers, and Owners on behalf of the Co-op for department and store in general through email, phone, etc.

- Maintains team and departmental information on shared drives and follows organizational protocol for use of calendars, schedules, and other technology.

- Assists with the growth and development of the Keweenaw Co-op, including problem solving and quality improvement processes.

- Reviews area operations and recommends changes in, or better utilization of resources.

- Communicates and coordinates departmental needs with Managers and Coordinators.

- Adheres to the Staff Agreement.

- Supports decisions made by the Support Team.

- Strives for continuous improvement.

**CUSTOMER SERVICE**

- Provides outstanding internal and external service.

- Fulfills daily cleaning tasks, cleanup/upkeep of personal areas, and periodic cleaning.

- Works with systems to improve customer service, guidelines/processes for buyers, and special ordering.

- Set aside special orders, match product with special order form and call customers

- Upholds and models Customer Service Pledge.

- Offers samples, suggestions and product information to customers.

- Maintains familiarity with all areas of the store in order to assist customers and buyers.

- Communicates needs of Owners and customers to Coordinators and Managers.

**LEADERSHIP**

- Accountable for area personnel and assisting with human resources, including, but not limited to:

- Reviews

- Completion of training checklists and training programs.

- Coordination of work for staff as they move throughout the specialty area.

- Assists when needed with break coverage.

- On the spot coaching for staff relating to receiving and inventory management.

- Completes store checklists regarding state of the store, safety, and cleaning, on a scheduled basis.

- Role models conflict resolution and safety procedures.

- Models and works to ensure honest and open lines of communication within and among departments and staff.

- Models supportive and participative leadership; promotes concepts of team building and empowerment.

- Communicates in a clear, direct, and respectful manner.

- Complies with established policies, procedures, customer service standards and guidelines.

- Models organizational service goals and standards.
