Job Title: Receptionist/Administrative Assistant

Location: Assisted Living Facility

Overview: We are seeking a reliable and friendly Receptionist/Administrative Assistant to join our team at Terrace Grove Assisted Living. As the first point of contact for visitors, residents, and staff, the Receptionist plays a crucial role in creating a positive and welcoming atmosphere. This position involves managing incoming calls, greeting visitors, handling administrative tasks, and providing general support to residents and staff.

Responsibilities:

  1. Front Desk Operations:
    • Job Hours are Monday to Friday from 9:00 AM to 5:00 PM Daily.
    • Welcome visitors and residents in a warm and courteous manner.
    • Answer and direct incoming phone calls promptly and efficiently.
    • Respond to inquiries and provide accurate information regarding the facility's services, activities, and policies.
    • Maintain a tidy and organized reception area.
  2. Administrative Support:
    • Assist with resident admissions by completing necessary paperwork and ensuring all required information is collected.
    • Manage resident files and ensure confidentiality of sensitive information.
    • Schedule appointments and coordinate meetings for residents and staff.
    • Assist with billing inquiries and maintain records of payments.
  3. Resident Assistance:
    • Provide assistance to residents with general inquiries and requests.
    • Coordinate transportation services for residents as needed.
    • Liaise with other staff members to ensure residents' needs are met in a timely and efficient manner.
  4. Communication:
    • Relay messages accurately and promptly to the appropriate staff members.
    • Maintain communication logs and records as needed.
    • Collaborate with other departments to ensure seamless communication and coordination.
  5. Other Duties:
    • Assist with special projects and events as assigned.
    • Perform general administrative tasks such as photocopying, filing, and data entry.
    • Adhere to all facility policies and procedures.

Requirements:
  • High school diploma or equivalent.
  • Previous experience in a customer service or administrative role preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Proficiency in Microsoft Office applications.
  • Compassionate attitude and a desire to assist elderly individuals.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
