Position Summary

The Specialist, Payroll Services operates independently with direction and guidance in ensuring the timely and accurate processing of client payroll invoice and work-site employee paychecks by working with the client and other internal team members to compile, organize, enter, review and process payroll related information in PrismHR.


Duties and Responsibilities

  • Client Service focused and ability to assist clients with payroll process guidelines to provide efficient and accurate payroll
  • Process payroll for clients consisting of 1,000 plus work-site employees per week across multiple client industries, and payroll frequencies
  • Ensure the timely and accurate processing of their employees paychecks and the client s invoice for payroll-related expenses.
  • Review work site employees time sheets, wage computation, and other information to detect and reconcile payroll discrepancies.
  • Verify with client attendance, hours worked, and pay adjustments, and post information onto designated records in PrismHR.
  • Process and issue work site employee s paychecks and statements of earnings and deductions (this includes weekly, bi-weekly, semi-monthly, monthly, and other pay).
  • Compute wages and deductions and enter data into PrismHR.
  • Manipulate and/or import into PrismHR time keeping data from 3rd party vendors such as Kronos Workforce Ready or the client s timekeeping system.
  • Prepare miscellaneous reports in PrismHR upon request for internal and external clients' use.
  • Issue and record adjustments to pay related to retroactive increases.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Develop a baseline understanding of applicable tax and benefit concepts.
  • Verify, review, and respond to garnishments to ensure compliance with agencies such as state and federal tax levies, child support orders as well as court orders.
  • Address client issues in a timely manner with guidance and direction from others.
  • Understand internal roles to help resolve client issues with general guidance.
  • Identify and recommend internally new processes or policies related to payroll operations.
  • Assist in special projects in the direction of the Payroll Manager.
  • Meet monthly and quarterly KPI goals.
  • All other duties as assigned.


Education, Skills, and Experience:

  • College degree or equivalent Payroll experience to effectively accomplish the responsibilities of the position.
  • Experience working with multiple clients in a customer focused environment.
  • Experience processing multi-state payrolls and clients with multiple locations/FEINs required.
  • 2-3 years of payroll or payroll tax experience in a PEO environment required.
  • Experience with PrismHR highly preferred.
  • Fundamental Payroll Certification (FPC) is preferred.
  • Intermediate experience with Microsoft Office, specifically Excel and Outlook required.
