As a vital support to our executive team, the ideal candidate will play a key role in maintaining high standards and facilitating strategic initiatives.


Responsibilities:


Strategic Calendar Management:

  • Efficiently manage the schedules of the owner and executive team, overseeing meetings, appointments, and conference calls to optimize time and productivity.

Global Travel Coordination:

  • Coordinate intricate domestic and international travel itineraries, handling flights, accommodations, transportation, and visas in alignment with company policies.

Effective Communication Hub:

  • Act as the primary liaison for internal and external stakeholders, handling communications with professionalism and confidentiality via email, phone calls, and other correspondence.

Documentation Excellence:

  • Prepare, edit, and proofread reports, presentations, and various documents, ensuring accuracy and adherence to the company's high standards.

Meeting Facilitation:

  • Assist in the seamless organization and coordination of executive meetings, including agenda preparation, capturing meeting minutes, and tracking follow-up on action items.

Comprehensive Administrative Support:

  • Undertake general administrative tasks such as expense reporting, filing, and maintaining office organization to contribute to the overall efficiency of daily operations.

Project Collaboration:

  • Collaborate with the executive team on special projects, research, and presentations, demonstrating versatility and adaptability.

Confidentiality and Discretion:

  • Handle sensitive and confidential information with the utmost discretion, maintaining the highest level of confidentiality.


Requirements:

  • Minimum of 5 years of experience providing executive-level administrative support, ideally with CEOs or senior executives.
  • Proficient in Microsoft Office Suite and other relevant software tools.
  • Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proactive and adaptable problem-solving and decision-making approach.
  • High level of professionalism, attention to detail, and commitment to maintaining confidentiality.
  • Bachelor's degree or relevant certification preferred.
