Bilingual Development and Administrative Coordinator
The Centro Cultural Mexicano, also known as the Mexican Cultural Center (MCC) was established as a non-profit organization in 1992. Our mission is to promote Mexican culture in the State of Colorado and to create a sense of belonging and pride in our cultural heritage for generations to come.
Position Title: Administrative and Development Coordinator (Bilingual Spanish/English)
Status: Exempt Status
Supervisor: Executive Director, Mexican Cultural Center
Position Summary:
The Administrative and Development Coordinator is responsible for developing fundraising and grant opportunities, as well as assisting the Executive Director in managing all business operations of the organization. Also responsible for assisting with the coordination of events, activities, schedules, and stewarding arts and cultural agency relationships. Maintaining and effectively communicating overall project status to internal and external stakeholders.
Grant Prospecting & Research (20%)
Establish and implement grants management processes and procedures with the Executive Director
Research new annual grant opportunities by using grant prospecting tools, online databases, and applications to identify grants that align with the organization s programming objects, priorities, and annual development goals
Screen and vet opportunities that align with the organization's mission and development of annual goals and priorities
Attend any grant opportunity informational sessions or webinars as needed to determine the feasibility of the organization s application for these grant opportunities and summarize your findings to determine if a good fit to apply
Support in the scheduling of meetings with grant funders, program officers, and prospects to learn more about the grant opportunity and alignment with the organization s programming
Assist in maintaining and managing an annual grants calendar detailing grant prospect criteria, deadlines, login information, contacts, funder information, etc.
Updating, renewing, and continuing to check the status of the MCC nonprofit entity registration through sam.gov to be able to continue to receive grants
Report and communicate grant prospect updates and opportunities in bi-weekly team meetings and utilize Teams and email the updated grant information in
Update, renew, and monitor the status of the MCC nonprofit entity registration through sam.gov to be able to continue to receive grants
Grant Proposal Development (20%)
Screen and vet opportunities that align with the organization's mission.
Support any follow-up meetings with the grant funder, program officer etc. regarding the application.
Create a template with application requirements and questions
Write clear, compelling, and well-organized grant proposals that effectively communicate MCC s objectives and impact
Ensure timely submission of grant proposals, adhering to all deadlines and submission requirements
Review and edit the proposal narrative's first draft and coordinate logistics among the team
members for additional grant documents needed to submit the grant application.
Submit the final grant proposal and send a copy to the Operations Director and Executive Director.
Support the development of the budget and budget narrative, as needed.
Grant Reporting (15%)
Set up grant reporting schedule and calendar
Create a template for the report requirements and questions
Gather data for grant reporting working with team members to attain additional documentation needed for grant reporting
Prepare and submit timely and accurate grant reports to funders
Submit the grant report and send a copy to the Operations Director and Executive Director
Fundraising (15%)
Support with annual fundraising campaigns for the MCC based on annual development goals
Serve as a thought partner in growing our donor base throughout the organization.
Support fundraising and sponsorship proposals for MCC programming and activities
Support with marketing and communicating strategies for fundraising campaigns
Support with follow-up communications to donors via email, letter, postcards, or calls
Connect and coordinate sponsors with the Executive Director to help support MCC programming and activities.
Support with sponsorship packages and applications to potential sponsors for MCC programs and activities
Support with CO Gives campaign with maintaining up-to-date information and helps strategize and implement the campaign.
Other Duties, Board Relations and Leadership Support Functions, Marketing and Other Duties (30%)
General Administrative Functions:
Support with program events, adhering to pre-scheduled events and follow through with agreements
Support Program Director and Executive Director with data tracking, reporting, and internal and external annual reports
Support the MCC team with applying and maintaining liability, property, and auto insurance
Coordinating the workflow on assigned projects and events
Answer and direct phone calls
Assist in the preparation of regularly scheduled reports
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Provide general support to visitors
Update and maintaining MCC s database
Assist in photocopy, passport, and retail services when needed
Support the Operations Director with the inventory of merchandise
Translations of documents from English to Spanish and English to Spanish
Filing necessary documentation with translations, finance reports, etc.
Prioritizing tasks and effectively managing day-to-day issues
Marketing and Communications Functions:
Oversee MCC marketing strategies and communication via print, digital, and social media (website, events, programs, etc.) to work collaboratively with the Executive Director and/or marketing/programming team
Supports the creation and distribution of internal and external communications, including emails, social media content, website content, printed pieces, Annual and Event Reports, and any other relevant communications materials
Tracks website traffic and social media engagement
Assists with gathering and organizing of stories about MCC and community members, including testimonials, and photos
Integrates the principles of justice, equity, diversity, inclusion, and accessibility in all communications decisions
Responds to communications-related issues, with the public or internally, in a timely manner
Coordinate and prepare joint press releases with corresponding organizations and institutions
Creation of Monthly Newsletter and updating of website
Updating current events happenings at MCC on the MCC website, as needed
Board of Directors and Leadership Support Functions:
Help support the MCC Board with tasks and help train such as minutes and note-taking, as needed
Participate in Board Communications & Development Committee
Prepares materials for the Board of Directors including managing meeting calendar, setting agendas, maintaining board meeting minutes, creating and updating materials for board meetings and trainings
Schedules meetings and appointments for Executive Director and other Directors as needed, including meetings with donors, internal staff, community partners, etc.
Upholds a strict level of confidentiality
Assists with events, including Board, donor and community events, and staff appreciation/team building efforts
Identifies ways to keep Board Members engaged in mission-driven/programmatic efforts (i.e., invitations to ASLD exhibits, events, and art workshops)
Works on special projects as assigned
Necessary Skills, Knowledge and Abilities
Bachelor's Degree, with 4 years of experience with nonprofit organizations, institutions of higher education, and or government agencies
College degree preferred, but will accept years of experience and advanced levels of administration as substitutes
Bilingual/Biliterate in Spanish language with native proficiency (due to nature of the position this is a requirement)
Demonstrated results in project management and detail orientation
Strong customer service skills with problem solving proficiency
Excellent time management skills and the ability to prioritize work
Excellent verbal and written communication skills in both English and Spanish
Ability to build relationships and work well with a team is key
Ability and willingness to work evening hours and weekends as required
Excellent Microsoft Teams and Microsoft Office Skills (Excel, Word, Powerpoint)
Interest in arts and culture preferred
Willingness to expand knowledge through professional development opportunities
Commitment to using communications to enhance diversity, inclusion, and equity at MCC
Experience with: Adobe Suite & Canva; social media including Facebook, Instagram, LinkedIn; Constant Contact Tik Tok or other email programs
Be willing and able to lift up to 40-50 lbs
Employment type:
Full-time, in person, 40 hours a week, Mon-Fri, 8-5, with flexibility and willingness to work some evenings and weekends as needed.
