Position Title: Courtesy Booth Office Coordinator

Pay Range: $17.50 per hour

Position Purpose

Performs a variety of clerical and office duties in support of a department or function within the organization. This department requires energy and stamina on a normal event day as it supports several hundred companies conducting business during the Fair. Qualified candidates must be someone not affiliated with Fair partners either socially or professionally. This is a seasonal/temporary position not to exceed 122 days.

Essential Functions

Badge Office/Courtesy Booth

  • Answers, responds to and or forwards telephone calls and messages to Supervisors.
  • Assists walk-in traffic to the office, including department employees, other organizational employees, business partners, guests and/or patrons.
  • Maintains a variety of department records and files, such badge lists and Megan's Law paperwork.
  • Performs computer data input and generates reports as requested.
  • Takes photos of fair employees and produces photo badges with lanyards for distribution to employees listed on valid badge lists.
  • Files and shreds documents as requested.
  • Performs badging duties throughout the Fair. Some work prior to the Fair beginning. Schedules are dependent on business needs.
  • Assists with Pre-Fair Vendor Check-in, Daily Vendor Check-in, and maintain the Vendor Courtesy/Hospitality Office.

Evaluator

  • From a guest perspective, and using prepared criteria, observes and scores each merchant, concessionaire, platinum partner, sponsor location (also known as business partners) contracted through the Commercial & Concessions Program.
  • Prepares evaluation forms and vendor labels.
  • Performs unbiased evaluations throughout course of the Fair.
  • Verifies contracted vendor and product information with a high degree of accuracy
  • Tracks compiled information and totals scores.
  • Become knowledgeable in policies and procedures of the Commercial & Concessions Handbook in order to conduct effective evaluations.

Qualifications

  • Must be at least 18 years of age.
  • No affiliation with Fair partners either socially or professionally.
  • Schedule flexibility.
  • Ability to work independently.
  • Good computer skills and demonstrated ability to use Microsoft Word, Outlook and Excel necessary.
  • Experience with filing and shredding.
  • Excellent customer service skills and the ability to work well with others a must.
  • Excellent teamwork skills required.
  • Ability to maintain composure in a stressful situation.
  • Ability to successfully handle and prioritize multiple tasks required.
  • Ability to work outside the normal business day/week as demanded by events and programs.

Preferences

  • Bilingual (English/Spanish) skills.

The employee must occasionally lift and/or move up to 25 pounds, which requires proper bending. Specific vision abilities required by this job include close vision and the ability to adjust focus. Must be able to sit and stand for extended periods of time while remaining alert.
