Job Details

Our medical malpractice defense litigation firm is looking for a full-time legal assistant to join our team in Richmond, Virginia. Our firm has eight attorneys and six assistants and paralegals, and we represent mostly physicians in complex malpractice lawsuits. The ideal candidate will have excellent organizational and interpersonal skills, take initiative, do problem-solving, and work well with others as a team. Keen attention to detail is a necessity. We maintain our files electronically, so technological proficiency is essential to this position. We do not use dictation. We maintain high standards in our firm, and we have high expectations for our support staff. Prior professional office experience is a must; prior experience in a litigation law firm is preferred. This position requires your physical presence in the office with some flexibility to occasionally work from home. Competitive salary commensurate with experience.


Key Responsibilities

Handle incoming and outgoing office mail

Maintain electronic (Microsoft SharePoint) and hard files.

Anticipate and address the various needs of four attorneys you will support.

Ensure compliance with insurance company billing guidelines.

Order and maintain office supplies.

Track litigation deadlines, ensuring timely completion of pretrial deadlines.

Timely file documents with courts.

Assist attorneys in preparing for trials, including coordination of witnesses, trial prep meetings, trial exhibits, trial technology, and witness subpoenas.

Communicate and coordinate with third party vendors.

Periodic billing.


Other Responsibilities

Telephone and email communications with clients.

Write emails and draft documents as needed.

Fax, scan, and copy documents.

Perform work-related errands as requested, such as going to post office, office supply stores, etc.

Perform certain other tasks as needed during other staff members' absences.

Help maintain the firm s compliance with health records privacy laws.

Periodically assist attorneys outside regular business hours, particularly before trials.


Basic Qualifications

College degree, paralegal certificate, or associate degree.

5+ years of office experience in professional services (legal, financial, non-profit, etc.).

Skilled in standard office software (MS Office and Outlook in particular; others helpful).

Ability to remain flexible, cooperating and getting along with other team members to achieve our firm goals


Preferred, but Not Required, Qualifications

Experience working in a litigation law office or related field.
