As the Executive Assistant, you'll be the right hand to a Senior Director with a leading law firm, taking charge of a range of exciting responsibilities. You'll be the master of complex calendar juggling, ensuring smooth sailing for conferences, travel arrangements, and expense reimbursements. Plus, get ready to showcase your event planning prowess as you orchestrate everything from luncheons to high-level management meetings.

Communication is key, and you'll be at the forefront, crafting internal and external messages with finesse while staying one step ahead to anticipate the needs of the Senior Director. With your stellar organizational skills, impeccable judgment, and unwavering professionalism, you'll keep operations running seamlessly in this fast-paced environment.


Responsibilities

  • Coordinate complex meeting schedules, manage emails, and maintain calendars efficiently.
  • Proactively anticipate needs to ensure timely project completion and meet deadlines.
  • Draft and distribute office-wide communications on topics like closures, emergency preparedness, and general announcements.
  • Conduct thorough preparation and analysis of monthly, quarterly, and annual budgets.
  • Prioritize tasks effectively to meet deadlines and adeptly handle multitasking.
  • Exercise sound judgment across diverse situations.
  • Handle confidential information discreetly and responsibly.
  • Provide comprehensive project support, including meeting scheduling and research.
  • Interact professionally with senior executives, VIPs, and all organizational members.
  • Foster creativity and collaboration, reaching relevant stakeholders across various disciplines.
  • Attend key meetings, capturing detailed notes and actions for reporting purposes.
  • Prepare agendas, itineraries, and other supporting materials as needed.
  • Cultivate positive and productive relationships with the executive team and colleagues.
  • Establish and maintain an efficient internal and external network.


Ideal Experience

  • A Bachelor s degree with 4+ years of experience in a professional services or legal firm is preferred.
  • Excellent communication skills, both written and verbal.
  • Strong administrative, planning, and organizational skills.
  • Ability to work independently on projects and within a team environment.
  • Ability to thrive in a busy, time-sensitive environment with shifting priorities.
  • Maintain strict confidentiality and sound judgment.
  • Overtime and some travel as necessary.
  • Proficient in Microsoft Office and advanced Excel skills.
