This is a temporary part-time job (32 hours per week: M-Th 8am-5pm onsite).


JOB OVERVIEW

The Administrative Assistant to Global Professional Education will support the team in management of administrative and compliance functions. The incumbent should have a keen attention to detail and great communication skills as they will interface cross functionally with many departments and customers.

Speakers Bureau: Developing speaker bios, supporting the contracting process, opening POs, processing invoices with appropriate documentation, creating calendar appointments and reminders for all speaker events.

Hands-on Education Support: Managing inventory of supplies for all training events in professional education and clinical education teams, including instrument trays and orders, eye models, wet lab supplies, management of all accounting functions tied to this activity including opening purchase orders, submitting invoices and liaising with accounting department as required.

Regional/Local Meeting Support: Manages sponsorships and liaises with field to support small local medical meetings including shipping promotional materials, processing of sponsorship paperwork, providing ongoing updates on status of meeting and the various tasks associated.

Other duties as assigned.


EDUCATION & TRAINING

High school diploma.

College degree a plus.


EXPERIENCE

5 years or more direct experience in executive assistant or similar role.

Executive assistant experience.

Pharma or medical device experience a plus.

Accounting experience, including expense report management.

Meeting coordination experience.


SKILLS

Word Processing (Microsoft Word): Mastery in formatting documents, creating templates, using styles, and collaborating on documents with features like Track Changes and Comments.

Spreadsheet Management (Microsoft Excel): Proficiency in creating and managing spreadsheets, using formulas and functions, analyzing data, creating charts and graphs, and utilizing advanced features like pivot tables.

Presentation Creation (Microsoft PowerPoint): Skills in basic design of professional presentations, incorporating multimedia elements, animating slides, and developing clean, editorial error free presentations.

Email and Calendar Management (Microsoft Outlook): Ability to manage email accounts effectively, organize emails into folders, schedule meetings, manage calendars, and utilize features like tasks and notes.

Collaboration Tools (Microsoft Teams): Proficiency in using Teams for communication, collaboration, and file sharing within teams or across organizations.

Document Collaboration (Microsoft SharePoint): Understanding of SharePoint for document management, version control, and team collaboration on documents and projects.

Basic accounting knowledge

Strong Interpersonal Skills
