Office Manager


Job Details

The Office Manager primary role is to learn how to drive the growth and results of an office. The Office Manager is expected to assist in facilitating training for internal team members including, FOCs, Recruiters, Employment Specialists, and Business Developers. This includes managing and motivating the team to actively fill orders and complete sales activities, in addition to the Office Manger s own desk.

Role and Responsibilities

  • Establishes a plan to grow and retain existing accounts and newly developed clients and win back lost/lapsed accounts
  • Meet 100% of the minimum weekly activity requirement
  • Measure and hold office staff accountable to their appropriate performance profile
  • Facilitates weekly one-on-one meetings with all direct reports to review established KPI metrics, overall performance, and other topics as needed
  • Directly manage team to achieve growth goals by filling 100% of qualified job orders
  • Adhere to North State Staffing (NSS) SOP in regard to new client set up and associate incident and injury processes
  • Effectively managing current and ongoing worker compensation claims
  • Working closely with NSS Management Team to ensure 90% of A/R current

Employee relations essential functions

  • With the assistance of the NSS management Team recruit, hire, train and coach staff employees
  • Manages day-to-day colleague performance (sourcing, submittals, interviews, etc.), including coaching and development, to ensure all service levels and performance metrics are met. Coaches, trains, and mentors Recruiters and Business Developers
  • Facilitates weekly one-on-one meetings with all direct reports to review established KPI metrics, overall performance, and other topics as needed
  • Work with NSS Management Team on all employee relation issues to determine appropriate action

Sales and recruiting essential functions

  • Execute and implement the established sales goals to ensure maximum market share and gross margin
  • Achieve satisfactory profit/loss ratios and market share in relation to pre-set objectives
  • Alongside NSS Management Team organize all marketing and sales endeavors within the franchise territory
  • Determine new sales opportunities by monitoring new business start-up, move-ins and expansion.
  • Effectively use recruiting tools to source and qualify candidates
  • Build relationships with clients and prospects
  • Jumps into recruiting and sales activities as needed

Job order essential functions

  • Adhere to the Express Job Order Process utilizing the job order form. This requires communicating with the client to understand the core duties of the job, the required skills, and the culture of the company
  • Ensure the job order is fillable based on the availability of associates and the timeline in which the client's need s will be met
  • Schedule a facility tour to complete the process
  • Conducts office audits (I.e., job order accuracy, lost and canceled job orders, credit check compliance)
  • Ensures all federal, state, and local notices and licenses are current and posted

Qualifications

  • Bachelor s Degree preferred but not required
  • Proficient understanding of common business practices and procedures
  • 1-3 years of similar work in Management and Staffing
  • Ability to set own priorities, schedule day s events, make cold calls, prepare and give formal presentations
  • Working knowledge of California labor and employment laws
  • Ability to thrive in a fast-paced environment
  • Must be able to work effectively under stress
  • Occasional out-of-town trips may be required
