Stradley Ronon Stevens & Young, LLP is seeking an Office Coordinator for the firm s Chicago office. The ideal candidate will be customer service focused, understand a professional services environment, have experience planning special events, and help to maintain a highly professional work environment. This is a highly visible role and will interact regularly with attorneys, clients, and business professionals.
Required duties include, but are not limited to:
- Office services duties for the office including ingoing/outgoing mail, duplicating and imaging, file/records maintenance, supply ordering/maintenance;
- Planning and coordinating special events, office social events, including working with the firm s event manager on client events, catering/hospitality,
- Coordination of office operations, including new employee set-ups, visitor office space, and consistent interaction with various administrative departments to ensure continuity of service;
- Assist with facilities-related matters, including office security/visitor access and logs, maintenance/HVAC requests, etc. Requires frequent interaction with on-site landlord representatives;
- Greet all visitors, maintain and open/close reception area;
- Answer main phone line and transfer calls as necessary;
- Invoice review and disbursement processing;
- Local contact for Chicago office vendors;
- Work with and provide practice group support to the Investment Management group;
- Work on special projects;
- Provide administrative support, including, but not limited to, document production, business intake materials and expense forms/paperwork;
- Draft and assist in the preparation of meeting minutes;
- Coordinate and participate in day-to-day client management.
Qualified candidates will possess the following skills and experience:
- 2+ years of administrative or customer service experience in a professional office setting;
- 2+ years of events planning experience a plus;
- Strong interpersonal and communications skills;
- Competency in Outlook, Microsoft and other Office applications;
- Experience with CLE or similar professional certification programs a plus.
