Reports To: Operations Manager
FLSA Status: Full-time, Non-exempt
Salary Range: $40,000 - $44,000


SUMMARY: The Operations Administrative Assistant performs a diverse set of tasks throughout the operations department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Creates work orders within the property management software and coordinates work orders with attention to accurate and timely data entry, assigning personnel and sub-contractors using established priorities.
  • Creates and updates recurring work orders (Service Agreements).
  • Tracks preventive maintenance status and escalates issues as needed.
  • Notifies homes of upcoming visits with a goal of 24-hour notice.
  • Relays high priority work
  • Completes rental registrations for all required properties.
  • Coordinates vendor activities.
  • Tracks property information/data.
  • Approves maintenance invoices.
  • Scanning older documents.
  • Other duties as assigned.
QUALIFICATIONS

Must have basic proficiency in the use of computers, including spreadsheet and word processing programs. Must be able to work independently. Must have a clean and valid driver's license, a vehicle, and proper insurance.

EXPERIENCE
Must have working knowledge and ability to use electronic devices to capture data.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.

COMMUNICATION SKILLS
Ability to work with and among persons with disabilities and cooperate and communicate with co-workers, tenants, and the public.

REASONING ABILITY
Ability to diagnose and solve practical problems and deal with various concrete variables in situations where only limited standardization exists. Ability to interpret various instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS
Must have valid driver's license and a reliable vehicle.

While performing the duties of this job, the employee is regularly exposed to moving mechanical parts. The employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, outside weather conditions, and risk of electrical shock. The noise level in the work environment is usually moderate.
