School Age Child Care Office Assistant Job Details Job Location West Side Y - Green Bay, WI Position Type PT Regular Salary Range $12.00 Job Shift Days Job Category Child Care and Education Description **GENERAL FUNCTIONS**

As the Child Care Office Assistant, you serve an important support role to the program and leadership staff to ensure SMART service and an exceptional member experience is provided to all. With many sites, communicating attendance, changes, bussing, and other pertinent information professionally and urgently is critical. Process and update registrations and send confirmations with receipts.

To meet the primary areas of focus, you will contribute to the Ys mission by: communicating between parents and sites during check in and pick up; preparing materials, promotions, correspondence, and reports used in decision-making and program planning.

**SKILLS AND TRAINING**

* A high school diploma (or equivalent) is required. One year related experience in an administrative support role is preferred.

* Strong administrative, organizational, typing, and computer skills (MS Office) with attention to detail and the ability to quickly learn new software programs or processes required.

* Support is provided to a lot of different people flexibility and the ability to organize, plan, and manage a diverse workload is very important!

* Participation in Listen First will occur within the first six months.

Excellent telephone, face to face, and written communication skills tailored to the appropriate audience will enable you to provide SMART service to our members and participants on behalf of the Exec and program staff. When sensitive issues arise, listen first for understanding and meaning and use non-threatening, collaborative communications methods.

- **Operational Effectiveness**: Be a good steward of the Y by following and enforcing policies/procedures, reporting financial irregularities, and exercising attention to detail and accuracy. Encourage parents to recognize the Y is So Much More by communicating the value of membership and how the family can benefit from greater involvement in the Y.

- **Emotional maturity**: How we understand and conduct ourselves impacts our relationships. In many situations you will need to accurately assess personal feelings, strengths and limitations and how they impact relationships. Behave in ways that support the Y, members, guests and staff.

- **Personal growth**: Pursue professional development opportunities and actively participate in required meetings and training to enhance job.

- **Mission advancement**: As a cause driven leader you will support the Y, its members, participants, and staff by living the Ys values of CARING, HONESTY, RESPECT, and RESPONSIBILITY in all interactions and aspects of job performance and demonstrate the desire to serve others.

- **Physical requirements**: For the most part, the work is done in an office environment with considerable sitting and computer work. You will need to be flexible with your standard work hours to meet the needs of the program.
