Who You Are:

The Office Services Manager has an interest in day to day offer operations, with a focus on creating a welcoming and dynamic experience for our people. As the Office Services Manager at TBWA\Chiat\Day, you'll be the go-to person of all happenings in the Franklin office. Sitting at the front desk you'll be the first point of contact for anyone coming through our doors. Your top priority is to create a warm and welcoming experience for everyone in the office.


This role is on-site, with the expectation of being in the office five days a week.


What You ll Do:

This role is part of the Talent Relations team and will partner with company and department leadership to ensure we are creating an engaging and inclusive experience for each and every one of our people.


You will:

  • Open office doors at 9:00AM, close doors at 6:00PM (Office Hours: 9AM-6PM)
  • Greet all visitors promptly, offer them water, connect them to the correct employee, or take them to the correct conference room.
  • Partner with Talent Relations team to create and execute agency events and employee engagement opportunities (Summer and Holiday parties, Volunteer Days, Cultural events, etc.)
  • Partner with office leadership and Talent Relations teams in employee communications, participation and general events
  • Liaise with the Nashville building s operational staff as needed to ensure office is fully functional
  • Assist with local office onboarding and offboarding process for employees
  • Maintain ongoing and effective communication to all employees about events, celebrations, and employee achievements
  • Assist with catering requests, both submitting orders and setting up and breaking down as needed
  • Manage office supply ordering and restocking
  • Schedule meetings, maintain distribution list, update shared drive files, and provide general office support as needed
  • Work closely with our New York office to create continuity and consistency of events and opportunities
  • Perform administrative duties as requested including, coordinate mailings, order products and services, maintain client files, run business errands
  • Keep the office neat and tidy. Keep an eye on the office for things that are out of order and alert the appropriate people to resolve

Given the nature of the Talent team and the duties assigned to this role, we are only considering candidates that currently live in or wish to relocate to Nashville, in the near future.
