EXECUTIVE ASSISTANT


POSITION SUMMARY

Executive Assistant s responsibilities include managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.


ESSENTIAL DUTIES & RESPONSIBILITIES

  • This role is instrumental in ensuring the CEO and CFO's effectiveness and the overall success of the organization
  • Support the CEO primarily, CFO secondarily, and provide additional support to other executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows
  • Plan and orchestrate work to ensure that senior executives priorities are met, organizational goals are achieved, and best practices are upheld
  • Under limited supervision, this position is responsible for exercising considerable discretion and independent judgment while performing secretarial, administrative and office management duties
  • Manage professional and personal scheduling for CEO and CFO, as may be directed, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • To the extent directed, manage senior executives travel logistics and activities, including accommodations, transportation, and meals
  • Maintain office organization, supplies, set up for meetings, clean up and break down
  • Managing multiple projects and ensuring all deadlines are met
  • Compose, type, and transcribe routine correspondence, forms, and similar material
  • Ensure documents are correctly worded and grammatically correct, with a professional appearance at all times
  • Establish and maintain confidential files, official documents, and other information for reference purposes
  • Screen telephone calls and visitors; route misdirected calls to other appropriate individuals in the company
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
  • Open, scan, and arrange mail in order of importance
  • Assume responsibility for keeping up to date on organizational changes, and policies and procedures
  • Handle special projects including scheduling and coordinating meetings, making travel arrangements, arranging for luncheons, and sending out invitations
  • Maintain a thorough knowledge of the organizational structure, working closely with the HR Department to ensure this knowledge is up-to-date
  • Communicate and interact effectively and professionally with co-workers, management, customers, etc.
  • Maintain communication with CEO, CFO, and other executives as assigned regarding developments within areas of assigned responsibilities and perform special projects as required or requested
  • Completing various personal and professional tasks in a timely and efficient manner. This might include: gift shopping, travel planning, grocery pick up, dropping off dry cleaning, picking up a prescription, executive errands etc.
  • Other tasks as assigned


QUALIFICATIONS

  • Four or more years of experience in an administrative role reporting directly to upper management
  • Ability to work in a fast-paced environment and meet strict deadlines
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Exceptional attention to detail, organizational and multitasking skills
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Proficiency in Microsoft Office Programs including Excel/Word/PowerPoint/Outlook, office productivity tools and an aptitude for learning new software and systems
  • Must be proactive and able to work with minimal supervision


PHYSICAL REQUIREMENTS

  • Frequent sitting, standing, and/or walking
  • Manual dexterity required for occasional reaching and lifting of small objects and operating office equipment
  • Ability to lift and move items up to 20 pounds
  • Travel, as required


PREFERRED SKILLS & EDUCATION

  • Experience in overseeing budgets and expenses
  • Experience in developing internal processes and filing systems
  • Bachelor's degree or equivalent
