Client Operations Executive (6 month contract with potential for CTH)


Based in-office in one of our two office locations (New York or San Diego) or remote.


Hamlyn Williams is hiring a highly organized Client Operations Executive to join the team in the USA. This will be a 6 month contract with the possibility of converting to full time.


We are seeking an exceptional individual to be the glue that holds our sales operation together! As our Client Operations Executive you will be the first point of contact to resolve any queries and issues relating to sales support activities such as billing, invoicing, the order to cash process and a range of other key activities relating to placements. You will provide administrative support to our busy sales teams, ensuring candidate and client care is exemplary throughout the process.


Ideally, we are looking for someone with customer facing and administration experience within a recruitment business, but we would also consider candidates with experience in similar roles balancing large amounts of conflicting tasks.


A snapshot of the role:

  • Manage candidate, contractor and client relationships specifically in regard to any queries or issues during a placement
  • Support candidate onboarding process, providing assistance with pre-employment paperwork completion, timesheet processing, hours of work, expectations and assignment details
  • Act as a key liaison between sales and support functions such as finance, Accounts Payable, Accounts Receivable and IT championing candidate and client care
  • Champion at all times pristine use of our CRM system as our system of record and reconciling with third party data where required
  • Manage contractor right to work and compliance documents
  • First port of call for all invoicing and payroll issues
  • Reconciling all invoices with internal systems
  • Ensure client and candidate related documentation is stored correctly using core Standard Operating Procedures
  • Ad hoc project work where required
