Job Title: Full-time Office Assistant for Property Manager
Position Overview: We are in search of a cheerful, dynamic employee who is eager to learn and grow with our company. This position primarily involves overseeing tenant and owner needs, handling marketing, processing applications, scheduling maintenance orders, data management, and performing general office duties. We value integrity and enthusiasm and are looking for an individual who embodies these qualities to join our team.
Key Responsibilities:
Provide exceptional customer service.
Assist in maintaining and organizing schedules and calendar events.
Greeting customers and promptly responding to incoming calls and emails.
Communicate effectively with residents, vendors, and colleagues.
Demonstrate strong time management skills and prioritize tasks wisely.
Ability to multitask effectively.
Maintain updated and organized files and records for owners, tenants, and accounting purposes.
Execute filing and scanning tasks efficiently.
Record tenant payments using AppFolio management software
Review tenant applications, insurance policies, and other necessary documents.
Prepare formal notices in compliance with regulations and company protocols, including but not limited to delinquent account notices, lease violations, and bulk preventative maintenance notices as instructed by Property Manager.
Adhere to established standard operating procedures.
Assists with office managerial duties.
Utilize Microsoft Office, Gmail, Foxit proficiently.
Maintain various marketing platforms such as Web Listings and social media
Undertake any other assigned duties or projects.
Qualifications:
Valid driver s license and reliable transportation
High School Diploma or GED Require; college degree or property management license is a plus but not required
Strong oral communication and interpersonal abilities
Proficiency in using office equipment
Willingness to learn and adapt
Suitable for entry-level roles
