Executive Assistant

Summary:

Seeking a dynamic, self-motivated Executive Assistant to support our mission. The ideal candidate will have exceptional interpersonal skills, an ability to manage and prioritize tasks in a fast-paced environment, and the acumen to handle sensitive and confidential information with discretion. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Responsibilities:

  • Calendar management for executives, including scheduling and coordinating meetings, appointments, and travel arrangements
  • Act as a liaison between the executive and internal/external stakeholders, ensuring clear communication and follow-ups
  • Prepare and edit correspondence, reports, and presentations on behalf of the CEO
  • Assist in the preparation and organization of board meetings, conferences, and other events
  • Conduct research and gather necessary information for meetings and projects
  • Handle confidential and sensitive information with discretion
  • Assist with the coordination and execution of special projects as needed
  • Provide general administrative support to the CEO, including but not limited to phone and email management, filing, and expense reports


Qualifications / Experience:

  • Bachelor's degree or equivalent experience
  • Minimum of 1 year of experience as an executive assistant, preferably in a technology or startup environment
  • Exceptional written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Experience with project management and collaboration tools (e.g. Asana, Trello, Slack)
  • Strong written and verbal communication skills
  • Well-organized, detail-oriented, ability to multitask, prioritize, and manage time effectively with great follow-up skills
  • Strong problem-solving and decision-making skills
  • Ability to work independently and collaboratively within a team
  • Discretion and professionalism in handling confidential information
  • Flexibility to adapt to changing priorities and a dynamic work environment
  • Bilingual in Mandarin and English preferred
