Forrest Solutions provides onsite outsourced solutions founded on proven best practices for management of non-core business functions. The Lead Office Services Associate maintains a high quality of services, offered to clients through the management of all service lines and maintains established standards and procedures. They will train, motivate and supervise all staff members to create the Forrest Solutions experience.
ESSENTIAL FUNCTIONS

Ensuring all daily activities are executed according to Forrest Solutions SOPs
Ensure to follow all Forrest Solutions polices, rules and guidelines
Manage the day-to-day operational requirements with the onsite staff ensuring 100% client satisfaction.
Manage all response to request, inquiries and issue relations
Ensure the site is fully staffed with qualified, motivated and trained personnel.
Provide and assist all client customers to provide a high level of service and satisfaction to all client customers.
Monitor Forrest Solutions staff time and attendance, dress code and policies
Participate in Forrest Solutions Management meetings
Manage Forrest Solutions staff development and skill training
Manage Forrest Solutions staff and performance issues.
Manage Forrest Solutions staff annual performance evaluation
Maintain timesheets, vacation scheduling and coverage schedules for entire onsite operations
Assists the client with special requests and projects.
Prepare work schedules employees at least two weeks in advance.
Provide on the spot feedback to staff on their performance.
Foster and promote cooperative working climate, maximizing productivity and employee morale.
Follow up on assignments given by direct reports.
JOB REQUIREMENTS
High school diploma or equivalent, college degree preferred
Prior Supervisory and corporate office experience
Ability to recruit, train and motivate high-quality personnel
Willingness to assist all services as necessary
Ability to enforce Forrest Solutions standards, policies and procedures with staff.
Ability to direct performance to staff and follow up with corrections where needed.
Understands the importance of delivering added value to clients]
Must be able to lift 50 lbs
Ability to work well under pressure
Ability to be a clear thinker, analyze, strategize, and resolve, problems, exercising good judgment
Ability to maintain confidentiality and security of any client information.
Displays a pleasant and cheerful disposition at all times

Mail Services
Manage all aspects of the mail, distribution and fulfillment operations, including all mail transfer to different buildings & Locations
Manage all incoming & outgoing USPS mail and accountable shipments
Manage clients domestic & international pouch mail
Enforce and monitor mail security protocol and procedures
Manage all special projects and mailing requests
Manage all supplies, postage and inventory
Resolve all client mailing, shipping and messenger issues
Manage 3rd party mail delivery service vendor
Ensure all Key Performance Indicators are entered and monitored and Service Level Agreements are met
Manage mailing and tracking equipment, monitor equipment performance, technical support and supplies and messenger services
Records
Perform records related duties as needed i.e. requests, file creation, reporting auditing.
Develop and implement RM tools and artifacts, including records inventories, records indexing and classification schemes and disposition schedules and file plans.
Develop corporate governance models detailing records management roles and responsibilities.
Support operations in development and management of file destruction and box audit processes.
Generate reports from the records database for internal customers
Copy Services
Manage equipment service and maintenance support
Provide end user and staff training for all copy, print and MFD equipment
Facilities
Assist with managing office contracts and agreements.
Review office expenses on an ongoing bases to ensure we are receiving the highest quality for the best price
Manage the content on the Office Services Workspace
Upkeep conference room maps and details sheet
