POSITION: Temporary Administrative Assistant
LOCATION: Menlo Park, CA (3x in office)
HOURS: 8:00AM - 4:30PM with OT as needed
COMPENSATION: $40-50/hour
BACHELOR S DEGREE: Preferred
Our client is seeking a temporary Administrative Assistant to support a team of investment professionals. The ideal candidate will have 2-4 years experience supporting busy teams in financial services and have excellent communication skills.
Responsibilities of the Administrative Assistant:
-Heavy calendar management and meeting coordination (including booking conference rooms, set up, food/beverage orders, etc.)
-Answer phones, take messages, and manage contacts
-Manage all expenses ensuring monthly submission and reconciliation
-Coordinate and plan seamless travel arrangements including itineraries, car service, airline, and hotels
-Provide backup coverage for other Assistants (EA or AA) on the team as well as reception
-Attend weekly meeting with the Admin team
-Assist with office, team build, and portfolio company events
-Assist in maintaining and updating CRM system.
-Assist with special/ad hoc projects as needed.
Requirements of the Administrative Assistant:
-Bachelor s degree is preferred
-Minimum 2-4 years of experience working as an Administrative Assistant
-Strong written and interpersonal communication skills
-Ability to prioritize workload and shift attention to new and upcoming tasks
-Demonstrated team player, self-starter, and independent thinker
-Exercises discretion and sound judgment; maintains confidentiality
-Excellent organizational and follow-up skills, outstanding attention to detail
-Proficient in MS Office: Word, Excel, PowerPoint, Outlook, Workday is a plus
-Proven ability to maintain strong interpersonal skills when in contact with investors, partners, and internal team
-Verification of identity, education, prior employment, and references may be required
