ABOUT CORPSAFRICA

Founded in 2011, CorpsAfrica provides the opportunity for Africans to serve in their own countries, along the lines of the Peace Corps model. We train college-educated young Africans and send them to live for up to one year in rural, high-poverty communities to facilitate small-scale, high-impact projects that are identified by local people. CorpsAfrica aims to create a culture of public service in Africa by giving participants the opportunity to apply their education, skills and energy toward helping their fellow citizens overcome extreme poverty.

We have steadily expanded operations from Morocco to Senegal, Malawi, Rwanda, Ghana, Kenya, Ethiopia, The Gambia, and Uganda over the last decade. Having successfully proven the power and effectiveness of the model, CorpsAfrica has begun to receive significant funding from large donors. As we reach a point of significant inflection leading to future expansion we seek to add motivated, capable, and highly effective staff to our team.

OVERVIEW OF THE POSITION

Reporting to the Chief Operating Officer and working closely with Global Support Office and Country Staff, the Operations Associate will ensure that the organizations administrative systems are maintained professionally and serve as a generalist within the organization. This position ensures critical processes and systems are functioning smoothly to maintain CorpsAfricas credibility with donors, advisors, associates, and regulators while enhancing and supporting our broader mission. As a key player in the organization's general operations, this position will support hiring processes, coordinate operational meetings, and organization-wide events, serve as the office manager for the space in Washington, DC, and more. The Operations Associate position is an excellent opportunity for a self-starter to build non-profit experience, be creative, innovative, and strategic, and play an essential role in helping a dynamic organization expand carefully and boldly.

CLASSIFICATION: Full-time, Exempt

SALARY AND BENEFITS: $50,000 - $60,000 USD commensurate with experience. CorpsAfrica offers a comprehensive benefits package including employer-paid medical insurance, 401(k), and paid time off.

LOCATION: Washington, DC - Hybrid with at least two days of work in the DC Office per week.

REPORTS TO: Chief Operating Officer

Specific responsibilities:

Information Technology (20%)

  • Serve as a steward of Google Workspace and other collaborative tech tools, providing oversight and guidance on file management and collaboration tools and troubleshooting user issues.
  • Regularly audit and update file systems to ensure accuracy and completeness, purging outdated or redundant documents as needed.
  • Maintain and update organizational databases, including contact lists, donor databases, and program databases, to ensure data accuracy and integrity following established protocols and procedures.
  • Generate custom reports and queries from databases to extract relevant information for decision-making and analysis.
  • Collaborate with IT consultants and the COO to develop and implement policies and procedures for technology usage across the organization.
  • Prepare comprehensive project plans, timelines, and budgets, ensuring projects remain on track and within scope.
Office Management Inventory Tracking and Procurement (20%)
  • Manage procurement and tracking of office supplies and organizational assets, including printers, laptops, and phone systems, ensuring timely and cost-effective procurement.
  • Implement streamlined processes for inventory tracking and procurement across the organization, negotiating favorable terms with vendors and suppliers.

Meeting and Event Management (15%)

  • Schedule and coordinate meetings, retreats, conferences and trainings, including arranging meeting times, booking meeting rooms, and sending out meeting invitations and reminders.
  • Plan and provide logistical support for operational meetings, including planning meeting spaces, technical equipment, and materials.
  • Prepare meeting agendas and materials, collate documents and presentations from various contributors
  • Take meeting minutes and distribute them to attendees, capturing key discussion points, decisions, and action items.

Operating Manual (15%)

  • Schedule periodic reviews of the Operating Manual to ensure it remains up-to-date and reflective of current policies, procedures, and best practices.
  • Collaborate with department heads and key stakeholders to identify any changes or updates needed to the manual based on evolving organizational needs or external factors.
  • Act as a liaison between different departments and teams, facilitating communication and collaboration to achieve common goals.
  • Communicate updates to the operating manual to relevant staff members and highlight any significant changes or implications for their roles and responsibilities.

Performance Monitoring and Strategic Alignment (15%)

  • Support the assessment of organizational performance against the strategic plan, identifying successes, challenges, and areas needing improvement, by updating the dashboard and relevant data sources
  • Develop report templates and formats to standardize reporting processes and ensure consistency across different departments and projects.
  • Prepare comprehensive reports and presentations on organizational performance, highlighting achievements, trends, and areas for attention, and present findings to senior management.
  • Collaborate closely with the COO to identify, plan, and execute strategic initiatives and special projects aimed at improving departmental effectiveness.

Additional Responsibilities (15%)

  • Support recruitment efforts by posting job openings, scheduling interviews, and assisting with candidate screening and selection, as needed
  • Assist with HR-related tasks such as onboarding new staff and maintaining personnel records
  • Review and edit draft reports, memos, presentations, and other communications materials for clarity, accuracy, and adherence to organizational standards.
  • Serve in an organizational support role for the Operations team and other teams across the organization as needed
  • Other responsibilities as assigned


Qualifications:

  • Bachelors degree in information technology, business administration, or a related field with at least two years of work experience is required
  • Advanced proficiency in Google Workspace apps and related tools
  • Strong working knowledge of other tech tools including Salesforce, Canva, Quickbooks, and Wordpress are preferred
  • Excellent organizational and multitasking abilities for office management tasks, including inventory tracking and procurement
  • Experience in meeting and event management, including scheduling, logistical planning, and documentation
  • Strong analytical skills and attention to detail Strong communication skills for facilitating communication and collaboration between departments and teams
  • Ability to work under pressure within tight timelines
  • Highly collaborative style and demonstrated ability to work across cultures
  • A strong commitment to the mission of CorpsAfrica is required, with a desire to support youth leadership, participatory community development, impact evaluation, transparency, and accountability
  • Fluency in English is required; fluency in French preferred
