Administrative Assistant

Location: Washington, DC

Schedule: 9am - 5pm (Monday - Friday)

Candidates MUST be able to commit to the schedule to be considered.


Position Overview:

Our client is seeking a candidate who lives locally to their DC office to provide administrative support for their office.

Responsibilities:

  • Administrative Assistant will support President/Managing Partner with his calendar and scheduling meetings on his calendar
  • Administrative Assistant will respond to travel requests and coordinating with the outside travel agent
  • Administrative Assistant will provide event planning support
  • Administrative Assistant will help to orchestrate when clients visit the office and make sure clients have what they need
  • Administrative Assistant will provide office management including make sure snacks are set out, maintaining cleanliness in the kitchen, and making sure office is in order and supplies are plentiful
  • Administrative Assistant will greet client and guests, general receptionist tasks including answering phones
  • Administrative Assistant will support President/Managing Partner with a variety of reports - i.e. pulling documents from Clio and populating Excel spreadsheets
  • Administrative Assistant will forward meeting requests or creating a calendar invite to the appropriate recipients
  • Administrative Assistant will generate documents for DocuSign
  • Administrative Assistant will complete additional administrative tasks and follow up on requests, as needed

Requirements:

  • Our client is open to someone with previous administrative experience in a corporate office or a polished recent college grad.
  • Should be comfortable utilizing MS Office Suite: Word, Excel, and Outlook
  • Previous law firm experience is helpful but NOT required
  • Bachelor's degree preferred but not required if someone has the relevant professional office experience
  • Previous DocuSign experience is helpful
  • Will be utilizing Clio (previous experience NOT required - client will train on this software) and may use QuickBooks (a plus if someone has previously used the web-based version)
  • Any accounting related experience is a plus

  • Team player who is willing to assist wherever needed - this could range from running the dishwasher in the kitchen to interacting with executive level clients and personnel
  • Highly competent
  • Comfortable with lots of client interaction and communicating with executives
  • Strong interpersonal skills
  • Interested in supporting business development
  • Strong Work ethic - responsive to emails from attorneys, staff, clients, etc.
  • Able to pivot from one task to another like responding to email
  • Enjoys working in a team environment
