UNCLASSIFIED POSITION IN THE CLERK OF SUPERIOR AND MAGISTRATE COURTS OFFICE

Minimum Qualifications:
High School diploma or GED required; supplemented by at least one year of experience working in a legal/court setting or in the legal profession, customer service, data entry, records management, administrative; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Specific License or Certification Required:
Notary Public Certification issued by the Clerk of Superior Court (within county of residence) by assignment only. May be required to possess and maintain a valid driver's license (according to assignment).

Specific Knowledge, Skills, or Abilities:
Requires knowledge of court procedures. Legal terminology. General office practices, procedures, equipment, and technology including court-specific technology.

Requires skill in reviewing documents for conformance with procedural requirements. Communicating effectively with coworkers, supervisor, and the public. Using spreadsheet, database, word processing, presentation, and other software. Understanding, using, and explaining Court-specific computer applications to manage court processes, gather and analyze statistics, and create reports. Delivering high quality, customer-focused service. Building sustainable working relationships with other County personnel, officials, and the public. Communicating effectively with coworkers, supervisor, and the public. Generating enthusiasm and support for program objectives.

Examination:
The examination will consist of an evaluation of education and experience, accomplished by analysis of the application. Application must document that the applicant possesses the minimum knowledge, skills, education, and experience as listed to be rated as qualified. If selected, an official, accredited college transcript is required, at time of employment, for all degrees/coursework used to qualify for this position.

Purpose of Classification:
The purpose of this classification is to perform specialized administrative duties and process specific and complex legal documents in support of assigned court functions. Responsibilities include performing cross functional support duties, receiving and processing legal documents, providing information and assistance to the public, and performing data entry. This classification is distinguished from Senior Court Associate in that this classification is more experienced, works with more complex information with only general supervision, and may provide lead worker functions.

Essential Functions:
The following duties are normal for this position , in general, the nature and level of work, knowledge, skills, abilities, and other essential functions (as covered under the Americans with Disabilities Act) expected of the incumbent.. Other duties may be required and assigned.

Provides assistance to attorneys, the public, governmental agencies and others in the filing of court documents and other court-related business.

Responds to inquiries from the public regarding case status, case filings and court procedures.

Collects fees and reviews and accepts legal documents submitted by the public in accordance with court procedures and prescribed time frames; updates court hearings calendars; updates court dockets

Reviews incoming and outgoing documents for completeness and accuracy; processes documents for filing in accordance with court rules; provides procedural guidance to members of the public and attorneys

Enters data from court documents into case management system; responds to court orders and other relevant documents regarding the court system; files court records in accordance with court procedures.

Assists with records maintenance and retrieval; addresses customer questions, issues, and complaints; secures confidential information; controls the flow of confidential and public information; responds to questions telephone inquires.

Physical Requirements:
Work is typically performed in an office-like environment. May work in high conflict situations and with difficult, sometimes dangerous parties. Positions in this class typically require talking, hearing, seeing, sitting, standing, walking, bending, reaching, fingering, lifting, and carrying. Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated Light Work.
