Administrative Assistant - Customer Service

The Administrative Assistant will perform administrative duties in support of the Customer Service department of the Pittsburgh Water and Sewer Authority (PWSA) by drafting and mailing correspondence, issuing letters to customers due to non-payment/non-access in accordance with PA PUC regulations, and gathering data to prepare reports and maintain department metrics.

**Responsibilities:** Produces correspondence, forms, and presentations using relevant computer software. Performs inquiries and data entry in the Authoritys Customer Information System and applications. Draft, insert, apply postage, and mail correspondence. Schedule conference calls and meetings, record meeting minutes, prepare and process purchase orders, sorting, and deliver incoming mail, and respond to customer service management support requests. Maintains tracking of various departmental projects, including non-access, backflow, and other billing-related activities. Collects and arranges information needed for events and projects. Conducts office equipment and supply inventory and maintains stock levels. Acts as departmental procurement office; drafts and tracks departmental purchase orders and expenditures creates reports as needed, verifies receipts of items, and receives items in the procurement system. Receives visitors and handles telephone calls. Maintains positive and productive working relationships with internal and external customers. Assists in the Authoritys main office reception area. Performs other related tasks as assigned or required.

**Knowledge, Skills & Abilities:** Ability to work well with all levels of internal management and staff, board members and public officials, as well as vendors and customers of all levels. Strong technical, analytical, and communication skills. Evident organizational skills throughout work history. Experienced user of MS Office 365. Personally effective, credible, and reliable. Sensitivity to confidential matters is required. General office management skills.

**Education/Experience Requirements:** The following requirements list the ***minimum*** education/training/experience required to qualify for this job. An equivalent combination of education and/or experience may be accepted: High School diploma or GED; Bachelors degree in business administration or related field preferred. Two (2) years of progressive assistant experience; a minimum of five years related experience in public/government office preferred.

**General Requirements:** Applicant must present a current, valid Class C (Class 1) Motor Vehicle Operators License at the time of application or before appointment. A valid drivers license must be maintained throughout employment. Applicant must present an up-to-date COVID-19 vaccination at the time of application or before the commencement of work (subject to applicable law including the Americans with Disabilities Act (ADA) and Title VII of the Civil Rights Act of 1964 reasonable accommodation requirements). **Examination:** A drug screen, background check, and/or physical may be required for appointment. **Physical Demands and Working Conditions:** The physical demands consist of walking, climbing stairs, finger movements including fine dexterity and coordination, hearing conversation, seeing near and far, and speaking clearly.

Frequently bending, stooping, repetitive leg and arm movements, lifting up to 25 lbs. The employee is regularly exposed to a moderate or quiet noise level in the office work environment. Subject to remain on duty beyond normal hours or during emergencies or other extensive periods.
