HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

* Officer will report to the staff leadership (Chief of Support) and support a wide range of administrative duties to ensure smooth functioning of the department to include managing access requests, assisting with facilities requests, including those pertaining to desk and vault needs, ordering office supplies, managing time and attendance records, maintaining organizational charts and phone lists, managing schedules and calendars; assisting with event planning; and supporting the office's employee onboarding program

* Verbal/written communication is a focus of this role, but there is no need for briefings

* No physical requirements expected

* No travel requirements

* Intermediate proficiency with Microsoft Outlook, as well as MS Office Word and Excel

* Candidate will use the internal training program and sponsor personnel access system

* Prior sponsor experience is required

* The Administrative Assistant III (AA III) will be responsible for maintaining organizational charts and phone lists, tracking the arrival and departures of officers, and arranging both onboarding activities and exit interviews as appropriate

* The officer will work with managers to develop an SOP for arrivals and departures

* The AA III will also ensure the timely and accurate completion of time and attendance records. In this position, the Administrative Assistant III (AAIII) will be handling end-to-end task management assisting with the administrative needs of a growing and fast-paced operational program office

* Managing conference room schedules; creating weekend duty rosters; coordinating with other department AAs on the transfer of officers or goods between offices and the scheduling transportation to and from downtown Washington DC are all tasks that will fall under the duties of the AA III

* The Administrative Assistant III (AA III) will be responsible for managing/supporting the calendars of two senior executive and six GS-15 positions who lead the unit. This unit is comprised of the Office Chief, Deputy, Chief of Operations, Chief of Staff and Group Chiefs. They will work to manage the calendars and help schedule important meetings and other functions on behalf of the department

* The Administrative Assistant (AA III) will maintain related shared drives, administrative requests for system access, as well as related phone lists, personnel information, etc.

* The AA III will provide assistance in scheduling and organizing meetings and conferences

* There are typically 6-8 internal, on-site meeting a week. Attendance at these weekly meetings is welcome but there is no requirement to participate or record minutes, etc.

* Additionally there may be a semi-annual requirement to assist with an off-site conference in the WMA

* Responsibilities in assisting with this conference may include helping to arrange lodging, catering, and local transportation for out of town visitors

* The candidate will perform a full range of administrative duties to include: ordering, tracking, and managing the budget for office supplies; coordinating, tracking, and assisting with office renovations

* The AA III will also be required to coordinate overseas travel for the Front Office principals

WHAT YOU'LL NEED TO SUCCEED:

* The position requires an active TS/SCI with Polygraph clearance

* HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

* Core hours are 8 am - 4pm, arrival no earlier than 7:30 am.

* Candidate must be able to operate in a team environment as well as successfully work on their own

* This position is on customer site
