Description
The Administrative Support Associate primary role is to provide comprehensive administrative support to our office, assisting with variety of tasks including but not limited to answering phones, processing payments, accounts receivable, processing billing, data entry, company deposit, and statements. Strong communication skills, proficiency with office software, and the ability to prioritize and multitask are essential for this role. The Administrative Associate will play a key role in ensuring the smooth operation of our office and contribute to the overall efficiency and effectiveness of our organization.
Requirements
JOB RESPONSIBILITIES
- Monitor customer accounts.
- Research customer accounts if there is a dispute or discrepancy
- Manage and resolve customer inquiries.
- Post daily payments and reconcile
- Create weekly aging analysis.
- Process credit cards
- Input all Crown Centralized Invoices
- Manage Crown / Toyota rejections.
- Manage input for other third party billers
- Process monthly statements.
- Answer and transfer incoming telephone calls
- Answering gate and advising appropriate department of arrival
- Daily invoice processing
- Email invoices to customers
- Mail invoices to customers
- Respond to customer questions regarding invoicing when necessary
- Process daily mail
- Distribute incoming mail to appropriate department or employee
- Process daily deposit
- Open all checks and indicate account number
- Create deposit sheet for A/R processing
- List all credit card, ACH and check deposit items
- Make certain that deposit sheet is in balance with general ledger
- Maintain and order office supplies, coffee machine, and bathroom.
- Prepare monthly calendar
- Process Crown warranty credits via journal entry
- General filing
