Dispatcher/Receptionist


Job Details

Dispatcher- Responsible for monitoring routes, updating call logs, and recording call information. Manage incoming orders for medical equipment, dispatch drivers for delivery, and pickup of equipment.

Responsibilities includes:

  1. Communication: Dispatchers are responsible for receiving incoming calls, emails, or other forms of communication from customers, vendors, or field personnel. They must effectively listen to the needs or concerns of the caller and provide timely and appropriate responses.

  2. Coordination: Dispatchers coordinate the deployment of resources, such as, equipment, or personnel, to fulfill service requests or respond to emergencies. They assess the urgency of each situation and prioritize tasks accordingly.

  3. Scheduling: Dispatchers schedule appointments, deliveries, or service calls based on availability of resources and customer requirements. They must maintain accurate records of appointments and update schedules as needed.

  4. Documentation: Dispatchers maintain detailed records of all communication, transactions, and activities, including service requests, dispatch instructions, and updates on job status. Accurate documentation is essential for tracking progress, resolving disputes, and generating reports.

  5. Customer service: Dispatchers serve as the primary point of contact for customers or vendors, providing assistance, answering questions, and addressing concerns in a professional and courteous manner. They strive to ensure customer satisfaction and maintain positive relationships.

  6. Multitasking: Dispatchers often handle multiple tasks simultaneously, such as answering phone calls, dispatching, and updating records. They must be able to prioritize tasks effectively and manage their time efficiently.

  7. Technical proficiency: Dispatchers must be able to use specialized software, communication systems, or equipment to perform their duties. They should be comfortable with technology and willing to learn new tools or applications as needed.
