SUMMARY
Coordinate all TEC Bookstore day-to-day operations. Accountabilities include coordinating all activities, assist with purchasing books, merchandise & supplies for the store.

POSITION DESCRIPTION

  • Ability to use and teach customer service skills to ensure that students and customers are happy and able to find what the need.
  • Coordinate with the Assistant Director of the Bookstore, to purchase all textbooks, supplies and merchandise for TEC bookstore.
  • Maintain inventory and fiscal controls of text related merchandise.
  • Use e-purchasing to pay invoices for bookstore and cafeteria.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Monthly visa reconciliation requires copying, gathering receipts, filling out paperwork to turn into the Assistant Director of the Bookstore.
  • Oversee the TEC bookstore safe.
  • Ensure all returns and refunds from vendors are processed and filed correctly and the business office has received all refund checks in a timely manner.
  • Keep track of all TEC departmental charges for the bookstore.
  • Liaise with MBS or current systems provider for any issues/discrepancies to resolve for inventory purposes, keeping track of any issues.
  • Assist in coordinating the return of product to vendors for overstock, damaged or defective merchandise.
  • Coordinate the shipping and receiving of course materials for TEC bookstore.
  • Ensure that the store appearance remains appealing and clean.
  • Coordinates customer service to ensure customers are always taken care of.
  • Processing and stocking of books purchased through vendors and book buyback.
  • In collaboration with main campus bookstore, coordinate annual inventory of TEC bookstore.
  • Open and close store as required.
  • Complete and accomplish all other duties as assigned by the Assistant Director of the Bookstore.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Possess strong written and oral communication skills.
  • Must demonstrate a commitment to and ability to work with a diverse student and faculty population.
  • Must possess accurate keyboarding skills and be able to enter data efficiently and accurately.
  • High energy, self-starter who can work with minimal supervision.
  • Ability to develop and maintain excellent working relationships and establish credibility with all levels of employee in the organization.
  • Detail oriented.
  • Ability to manage several projects with multiple deadlines simultaneously.
  • Strong customer service skills.
  • Ability to multi-task and prioritize duties.

MINIMUM QUALIFICATIONS
  • High school diploma/GED or equivalent plus Five (5) years relevant experience OR
  • Associates or higher degree plus Two (2) years relevant experience required.
  • One- Two (1-2) years' experience with processing invoices.
  • Experience with technology/ software: Microsoft 365 applications, especially Word, Excel, Outlook, and video meetings/ webinars.
  • Basic accounting/bookkeeping skills with strong aptitude with numbers and safe cash handling procedures.
  • Retail knowledge.
  • Well versed in MBS system functions.

PREFERRED QUALIFICATIONS
  • One (1) year management experience.
  • Inventory process experience.
  • Experience with reconciling invoices.
  • 10-key experience.

WORKING CONDITIONS
While performing the duties of this job, the employee is frequently required to stand, talk, hear, walk, and sit. While performing the duties of this job, the employee may occasionally push or lift items.

WORK SCHEDULE
40 hours per week, during regular hours of Monday - Friday 8:00 am - 4:30 pm. Must be able to work a variable schedule/hour to meet operational needs. May require evening and weekend hours.
