Data Entry Specialist

Responsibilities:

  • Data Entry Specialist will be responsible for sales order entry (focusing on software, maintenance, and possibly training orders) - orders are onboarded into an app, basic elements of the order are already in the order. Will review data to confirm it matches the contracts, then push it to NetSuite (accounting system). A lot of review of data to correspond with what salesperson has indicated. Some additional set up to be done in NetSuite to set up billing schedule.
  • Majority of sales order entries take place last 2 weeks each month. Team enters anywhere from 60-80 orders during that time. Once all orders are entered. management reviews, then team runs processes to do revenue reconciliations.
  • Data Entry Specialist will assist other Data Entry Specialist in reviewing report of past due renewals where they track subscription contracts and whether they have expired or been renewed.
  • The last 2 weeks of the month will be the busiest
  • Data Entry Specialist will read through contracts and double check data in the system.
  • Data Entry Specialist possibly will be assisting with account reconciliations.
  • Data Entry Specialist will assist with training revenue - tie out and reconcile an exam; reconcile a training report on a monthly basis.
  • Ad hoc tasks and projects, as requested

Requirements:

  • 1+ year of experience in any aspect of accounting (i.e. accounts payable, corporate accounting, etc.)
  • Previous experience working with an ERP system (NetSuite is the system used but is not required. Will do some manual calculations in NetSuite)
  • Bachelor's Degree preferred. Candidates pursuing Bachelor's Degree will be considered, but Bachelor's Degree required for permanent role.
  • Intermediate Excel skills (filters, pivot tables) - will be completing a checklist where you document the steps went through to review the order.
  • Experience doing journal entries would be helpful, but not required

  • Someone who is self-motivated and hard working
  • Interested in an entry level role that will require repetition month after month and several months to get fully up to speed. Interested in processing orders and accounting responsibilities including journal entries.
