Office Manager

Covideo is seeking a highly organized and proactive Office Manager/Administrative Assistant to join our growing team! The ideal candidate will be responsible for ensuring the smooth and efficient operation of our office environment. This person will have a natural flexibility in handling day-to-day routines and act as an Administrative Assistant for our CEO and VP of Partnerships.


Responsibilities


  • Serve as the primary point of contact for visitors to the office and ensure a friendly, personal experience
  • Ensure peak operations for the organization
  • Coordinate internal and external resources, and cultivate relationships with vendors
  • Respond to requests and questions about office operations
  • Maintain office supply and kitchen inventory by checking stock, anticipating needed supplies, placing orders for supplies, and verifying receipt of supplies
  • Ensure office equipment is functioning properly, maintained, and serviced as needed
  • Manage vendor relationships
  • Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested
  • Ensure restroom facilities are stocked with necessary supplies
  • Ensure the kitchen is stocked with necessary supplies
  • Oversee the general tidiness and cleanliness of the office space
  • Handle incoming and outgoing mail packages
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel


Required skills and qualifications

  • Proven experience as an Office Manager, Administrative Assistant, or a similar role
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
  • Strong verbal and written communication skills
  • Attention to detail and problem-solving skills
  • Ability to prioritize tasks effectively
  • Proficiency with office applications such as GSuite, Slack, Zoom, etc., and aptitude for learning new software and systems
  • Ability to maintain confidentiality of company information
  • Professional demeanor and strong interpersonal skills
  • This is an on-site position. Standard office hours apply
  • The Office Manager will report to the Director of People Operations


Preferred skills and qualifications

  • Bachelor s degree or equivalent
  • Advanced computer skills and experience with online platforms
