Job Title: Purchasing Assistant

Summary: The Purchasing Assistant plays a vital role in supporting the procurement process within the organization. This position involves assisting with sourcing suppliers, obtaining quotes, processing purchase orders, and ensuring timely delivery of goods and services. The Purchasing Assistant works closely with the purchasing manager or procurement team to maintain accurate records, monitor inventory levels, and negotiate favorable terms with vendors.

Responsibilities:

  1. Assist in sourcing and evaluating suppliers based on quality, price, and delivery capabilities.
  2. Obtain price quotes, negotiate terms, and place purchase orders for goods and services as needed.
  3. Coordinate with internal departments to determine their purchasing needs and requirements.
  4. Review purchase requisitions for completeness and accuracy before processing.
  5. Maintain accurate records of purchase transactions, including vendor contracts, purchase orders, and invoices.
  6. Track orders and monitor delivery schedules to ensure timely receipt of goods and services.
  7. Communicate with suppliers to resolve issues related to order fulfillment, delivery delays, or quality concerns.
  8. Assist in managing vendor relationships, including conducting vendor performance evaluations and addressing any issues or disputes.
  9. Monitor inventory levels and reorder supplies as needed to prevent stock outs or disruptions in operations.
  10. Work with accounts payable team to reconcile purchase orders with invoices and resolve discrepancies.
  11. Assist in analyzing purchasing trends, identifying cost-saving opportunities, and optimizing procurement processes.
  12. Stay informed about market trends, industry developments, and regulatory requirements related to procurement and supply chain management.

Qualifications:

  1. Bachelor's degree in business administration, supply chain management, or related field preferred.
  2. Proven experience in purchasing, procurement, or supply chain management.
  3. Strong understanding of procurement processes, including sourcing, vendor management, and contract negotiation.
  4. Proficiency in Microsoft Office suite, particularly Excel, for data analysis and reporting.
  5. Familiarity with purchasing software or ERP systems is a plus.
  6. Excellent communication and negotiation skills.
  7. Detail-oriented with strong organizational and multitasking abilities.
  8. Ability to work effectively in a fast-paced environment and meet deadlines.
  9. Team player with the ability to collaborate with cross-functional teams.
  10. Strong analytical and problem-solving skills.
  11. Ability to maintain confidentiality and handle sensitive information with integrity.
