Within the events company, we have an amazing hospitality staffing division (SPE Staffing). Our primary focus is servicing high end clientele and luxury brands.


The Position

SPE Staffing is currently seeking a full time assistant event staffing coordinator to support the Staffing team. This role will be responsible for managing a wide range of administrative and staffing duties and management. The ideal candidate must be able to work independently, as well as with others, exceedingly well organized and detail oriented, and enjoy the challenges of event staffing and hospitality that works with a sense of urgency. We are looking for someone who would like a career in event staffing and wants to grow within the company.


Responsibilities

This position interfaces with the SPE administrative team, staff, and our clients in assisting with coordination of staffing for events.

Manage and handle staffing director and client requests and expectations in a timely, professional and discreet manner.

Act as contact liaison between the client, staffing director, and staff.

Coordinating all staffing details with the staffing director and/or client until all the details have been collected, and our staff are fully prepared to have a successful event.

Assist in scheduling, and payroll processing of staff after an event has ended. Including but not limited to: staff hours, drive time, and reimbursements. Assist accounting with finalizing payroll billing reports for invoicing.

Monitor staff feedback and assist in developing standards of service that are shared with Steven Petrarca Events.

Tend to urgent event situations as requested by clients.

Develop and maintain positive and professional staff and management relationships.

Assist with check-ins/outs, breaks, and issues during event hours. Staffing coordinators are occasionally requested by company owner and/or clients to manage staff check in onsite when needed.

Knowledge and understanding of California employee/break law requirements.(SPE will train on this).

Work closely with other departments to coordinate details and special requests.

Must be willing to work after business hours as needed (based on events) and weekends remotely if coverage is required for staff check-ins.

Ability to work during event hours, including holidays, weekends, and evenings as needed, pending the event schedule.

Must declare and obtain approval for all vacations, off line hours, conflicts hours in advance so other admin staff can assist with event coverage.

Must be comfortable using apps, softwares, and tech for high volume communication with employees.


About You

You are a quick learner, reliable, and lead by example. You lead with kindness, respond not react when problem solving.

Must know how to work on a Mac OS operating system and are easily reachable by phone.

Strong creative, strategic, analytical, management and organizational skills with attention to detail. Looking for someone who works with a sense of urgency when given tasks.

Motivated by a fast moving, collaborative work environment.

Extremely adept in software applications including Dropbox, MS Office, Google Drive, Slack, Mac OS. Staffing software experience is a plus (especially Ubeya).

Excellent written and oral communication skills, strong interpersonal and attention to details, and the ability to work in a team-oriented environment. This position involves a lot of staff correspondence and communication.

Some college, previous event or catering/hospitality experience preferred.

Have your own laptop computer.


Hybrid position located in Los Angeles, CA, combining in-office and remote work days, subject to the weekly event schedule. Occasional onsite support required for check-ins, with any weekend work typically conducted remotely.


Salary

Starting at $70,000 a year and is based on experience.
