Responsibilities:
- Efficient handling of phone calls and warm greeting for all visitors.
- Scheduling appointments, maintaining calendars, and coordinating both staff and various meetings, including in-person and Zoom calls.
- Responsibility for mail tasks, including collation and distribution, handling Mountain P.O. Box duties, visiting the post office for necessary mailing materials, and purchasing stamps.
- Preparation and sending of bulk emails utilizing tools like Mailchimp.
- Crafting communications such as memos, emails, invoices, reports, and other correspondence as needed.
- Generating invoices for airplane flight hours, hangar rent, and other necessary invoicing tasks.
- Assistance in organizing events, including following up on requests and donations.
- Support with Direct Mail Campaigns and maintaining Donor Perfect systems.
- Drafting and editing various documents, from letters to reports and instructional material.
- Creation and management of both electronic and physical filing systems.
- Handling of accounts and performing light bookkeeping tasks.
- Preparing and organizing documents for the Bookkeeper.
- Reporting directly to the President.
- General administrative duties like maintaining timesheets, ordering office supplies and snacks for events, and overseeing the cleanliness of the office.
- Completion of payroll tasks, inputting checking information into appropriate logs, and reviewing reports from PayPal.
- Maintaining petty cash and managing merchandise send-outs.
- Managing banking tasks, including deposit operations and inputting monthly statements into QuickBooks.
- Problem-solving relating to staff and consumers, ensuring smooth operations within the museum setting.
Requirements:
- Good command of Microsoft Office Suite (Word, PowerPoint, etc.)
- Ability to write and edit documents effectively.
- Experience in bookkeeping and handling financial documents. QuickBooks experience preferred
- Strong organizational skills for managing filing systems and schedules.
- Excellent communication skills for both internal and external correspondence.
- Capability to work flexibly and manage a variety of tasks efficiently.
