Summary:

The right candidate will be responsible for supporting the property management team in various functions. The successful candidate can expect to manage the building reservation process end to end at the property, manage building amenities, create, plan and execute engaging tenant and community events, as well as take the lead on vendor coordination.


This role is an excellent opportunity for someone looking to build a career in property management and gain hands-on experience in a dynamic business environment this role will be responsible for being the priassisting the property managment team a providing administrative and customer service support with the daily operations of the assigned property portfolio.


Responsibilities:

  • Provide administrative support to the property management team.
  • Oversee and manage the ETS reservation system, ensuring efficient processing and confirmation of all reservations.
  • Coordinate property maintenance and repairs, including scheduling service providers and ensuring work is completed.
  • Maintain an up-to-date log of COIs for all tenants and vendors, ensuring that all parties are compliant and covered.
  • First point of contact for Tenant coordination. Respond to tenant inquiries and concerns in a timely and professional manner.
  • Process requests for new key fobs for tenants, ensuring they are provided with the necessary access to the premises and amenities. Administer access privileges for additional facilities, such as the fitness center and bike room, upon tenant's request, enhancing their amenity experience.
  • Create and operationalize all tenant and community events (including marketing, vendor management, outreach, etc.)
  • Maintain relationships with tenants, service providers, and vendors.
  • Prepare and distribute communications to tenants, this includes monitoring of various incoming and outgoing communications channels (eg mailbox).
  • Assist in implementing and enforcing property rules and regulations.

Desired Qualifications:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous experience in administrative support, property management, real estate, or a related field preferred.
  • Knowledge of property management principles and practices.
  • Excellent communication and customer service skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and property management software.
  • Detail-oriented and able to work independently and as part of a team.
  • Ability to maintain confidentiality and professionalism.
