Job Details

A reputable hospital in Boston is looking for an Administrative Assistant to join their team. This person must be able to work onsite.


Responsibilities:

  1. Answer and screen phone calls, take accurate messages, or direct calls appropriately. Greet and guide patients, families, visitors, and staff, responding to requests promptly with clear and accurate information within one's knowledge and authority.
  2. Update patient demographic and insurance details as needed, arranging specialist referrals for all patient appointments. Schedule appointments using scheduling tools, coordinate ancillary appointments and procedures with hospital staff.
  3. Obtain patient information and materials from referral sources, prepare patient records, and act as a liaison with other departments and external customers professionally. Handle confidential information securely and explain policies and procedures when necessary.
  4. Collect co-payments from patients, coordinate billing tickets following procedures, and forward billing fee tickets to billing staff. Reconcile collections at the end of each business day.
  5. Manage physicians' schedules, type correspondence and documents, transcribe letters and patient notes as required, and distribute routine reports.
  6. Notify, confirm, and remind patients of scheduled appointments via letters or phone calls.
  7. Obtain authorization for radiologic exams as needed.
  8. Sort, copy, file, and distribute incoming and outgoing correspondence and mail in the absence of AAI.
  9. Participate in special projects and process improvement initiatives as requested.


Required Qualifications:

  1. High School diploma or GED required; Associate's degree preferred.
  2. 1-3 years of related work experience required.
  3. Experience with computer systems, including web-based applications and some Microsoft Office applications like Outlook, Word, Excel, PowerPoint, or Access, is necessary.
