Responsibilities:

  • Assist the Federal Task Leader (FTL) with receiving all acquisitions including but not limited to equipment, chemicals, consumables, and services.
    • Determine the storage location for each temperature sensitive package (-80C, -30C, or 4C) as specified by either the vendor or FTL.
    • Receive and unload incoming materials and verify accuracy of shipment, process return shipments as needed.
    • Inspect shipments for damages or defects; record discrepancies or damages and notifies supervisor and/or purchasing personnel.
    • Deliver items to requisitioning departments and obtain authorized signatures for accepted items.
    • Manage and trace lost shipments and/or customer claims of lost shipments; provide proof of delivery documentation for all purchasing mechanisms.
    • Assist in the preparation of consumables for shipment to internal or external collaborators, following all NIH/IATA/DOT regulations.
    • Assist sterile transfers/aliquots VPP produced materials and submit for analytics testing, and ensure material is properly coded into the technical services database.
  • Suggest departmental policy changes related to primary duties and other aspects of VPP Scientific Operations as needed.
  • Manage laboratory requests for commercially available goods (CAG) from VPP stockroom or equivalent under the direction of the FTL.
    • Serve as a liaison between the VPP and VWR technician and works with the technician to create a supply database to ensure that critical consumables are maintained at adequate levels.
    • Maintain and verify VPP produced materials are properly coded into the technical services database and that the database is current, and coordinates within technical services group potential availability of material requests.
  • Under the direction of the FTL, track all biological and chemical waste collection for the VPP, in terms of:
    • Prepare biohazardous waste boxes per NIH/VPP-SO standards, and transport full biohazardous waste boxes from the laboratory to the main 9WW waste collection room.
    • Assist with the preparation and collection of biohazardous drums for departmental use
    • Assist with the collection and inventory of chemical waste in the 9WW waste collection room
    • Aid in the development of a new SOP for the collection and disposal of all waste in conjunction with the FTL and NIH DOHS/EPA groups.
    • Aid in creation of and maintenance of VPP SDS database prior to procurement under the direction of the FTL.
    • Perform weekly verification of CAG held by VPP Scientific Operations and notify the FTL or designee.
    • Aid in response to departmental requests for instrument install, service, decommissioning, and relocation under the direction of the FTL.
  • Follow established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards.
  • Aid in the development and execution of VPP s acquisitions and procurement Laboratory management system (LIMS).
  • Maintain department consumables database, prepare routine reports, and file packing slips and other documents under the direction of the FTL.
  • Operate dolly/ pallet jack in loading and unloading consumables and equipment; assist in routine maintenance or moving of laboratory equipment as well as VPP package receiving.
  • Aid FTL in Quality Assurance responsibilities including but not limited to laboratory notebook issuance/retention, review, and audits.
  • Serve as a backup emergency responder for all VPP REES (alarm system) monitored equipment as well as handle in-house trouble shooting like changing batteries, resetting probes, and installation of probes.
Qualifications:
  • Bachelor s degree in related discipline and 5 years of logistical experience is preferred.
  • Expert in Microsoft Office, especially Excel, Word, and Teams.
  • Familiarity with general scientific/biotechnology laboratory supply requirements.
  • Strong analytical capabilities to prepare inventory analytics and other metrics.
  • Strong communication skills to communicate to internal and external stakeholders.
  • Must have the ability to work as a team member.
  • Follow established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards.
  • Hands-on experience with product candidate inventory management systems.
  • Current up to date training in USDOT and IATA training for biological shipping or ability to obtain training.
  • Experience with SmartSheet, laboratory information management system (LIMS), and electronic laboratory notebooks (ELNs).
  • Current training in RCRA, DOT and Hazcom (GHS) or ability to obtain training.
