Job Title: Client Services Specialist

Summary:

The Client Services Specialist will provide high-quality service to lawyers, clients, staff, and visitors requiring conference center services. Responsibilities include conference room scheduling using the Event Management Software System (EMS), reservations, confirmations, meeting set up, coordinating catering services, and monitoring conference room availability. Additionally, they will facilitate communication with stakeholders and departments involved in conference center services.

Qualifications:

  • Strong client services background emphasizing organization, initiative, and attention to detail.
  • Ability to manage high-volume workloads with excellent time management and multitasking skills.
  • Exceptional verbal and written communication skills, including interpersonal communication and problem-solving.
  • Proficiency in Microsoft Word, Excel, and PowerPoint, with moderate document management skills.

Duties and Responsibilities:

  • Maintain professionalism when interacting with stakeholders requiring conference center services.
  • Answer, screen, and direct telephone calls, and assist visitors as needed.
  • Provide hospitality/concierge-style service in the Conference Center.
  • Schedule meetings and conference rooms, coordinating catering and equipment needs.
  • Enter reservation data into EMS and ensure accuracy.
  • Familiarize with conference room details and functionalities.
  • Assist with visitor offices and special arrangements.
  • Respond to requests accurately and promptly.
  • Develop relationships with stakeholders.
  • Ensure guest registration and workplace security.
  • Basic audio-visual system setup.
  • Operate office equipment and provide administrative support.
  • Coordinate catering and cleaning services.
  • Maintain cleanliness and organization of conference center areas.
  • Provide feedback on client services and conference center operations.
  • Perform administrative duties as assigned.
  • Maintain regular attendance and flexibility in work hours.
