General Statement of Job

The Town of Vienna is currently seeking exceptional and committed individuals to join our team. Our community is vibrant and lively, and we need outgoing and energetic candidates who can help execute over 100 special events throughout the year.

This position offers the opportunity to work on a variety of special events throughout the summer season, with the flexibility to choose the events that fit your schedule. Event Assistants will play a crucial role in ensuring the successful execution of events by providing support in various capacities, including set up, break down, customer service, and emergency response. Our special events include Movies in the Park, Summer Concerts, Summer Children's events, and various holiday events such as a Memorial Day weekend festival, Independence Day Celebration, Halloween Parade, Holiday Stroll, and others as assigned.

Work Hours: Approximately 3-15 Hours available per week June-August. Hours will vary throughout the year, with more hours available from June through August. There are event opportunities most months of the year, with the exception of January and February, Most shifts take place on nights and weekends. However, there are several weekday, daytime opportunities June-August.

All new employees must satisfactorily complete a background check. A conditional offer of employment may then be made contingent upon the successful completion of drug and alcohol test.

Duties and Responsibilities

  • Set up and break down event spaces, including tents, tables, chairs, and signage.
  • Serve as the manager on duty at smaller events, overseeing operations and ensuring a smooth experience for attendees.
  • Make announcements and provide information to event participants as needed.
  • Staff entrances and monitor guest traffic flow.
  • Execute event emergency plans in coordination with event coordinators and emergency services.
  • Staff information tables and provide assistance to attendees with inquiries about the event, facilities, and programs.
  • Perform various other event-related duties as assigned, which may include assisting with parking, directing vendors, or facilitating activities.
  • Occasionally assist the full-time Special Events Coordinator and Assistant Event Coordinator with administrative tasks.


Qualifications:
  • Strong communication and customer service skills.
  • Ability to work effectively in a team environment and adapt to changing priorities.
  • Reliable and punctual, with a flexible schedule to accommodate event shifts.
  • Ability to lift and carry equipment and supplies up to 50 pounds.
  • Prior experience in event coordination or customer service is preferred but not required.
  • Must be able to complete on-site training for specific event roles and emergency procedures.
  • Ability to give, understand, and carry out oral and written instructions.
  • Ability to meet and deal tactfully with the public.
  • Ability to execute the knowledge of first aid/CPR practices and techniques (after receiving training).
  • Ability to demonstrate professional work habits including reliability, dependability, adaptability, creativity, and enthusiasm for the job.
  • Ability to fulfill all duties with ethical conduct, individual initiative, creative problem solving, and responsive service.


Work Conditions and Physical Demands:
  • Lift/move up to 50 pounds frequently.
  • Seasonal position with varying hours based on event schedules.
  • Work environment includes outdoor settings and exposure to various weather conditions.
  • Some events may require standing or walking for extended periods. Frequently required to stoop, bend, and reach with arms


Minimum Training and Experience

EDUCATION AND EXPERIENCE:
  • Must be CPR/First Aid Certified or have ability to obtain certification within 60 days of employment (Town of Vienna will provide and pay for training opportunities.)
  • Must be able to perform general office duties.
  • Must be able to deal with the public, event participants and other employees in a pleasant and courteous manner and as required by the position.
  • Must have demonstrable ability to communicate effectively verbally, as well as to understand and carry-on conversations with other individuals, both in person and over the phone.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  • Candidates should be very comfortable performing physical labor activities.

  • Ability to multi-task, problem solve and be goal-oriented in a fast-paced environment

  • Proactive work ethic, team mindset and professional attitude are essential.
  • Strong intrapersonal skills and confidence interacting with event participants and other staff members
  • Flexible schedule required; must be willing and available to work evening and weekend events throughout the year, especially throughout the summer season
