Stagewood is seeking an Administrative Assistant to join our dynamic team, providing crucial support in both HR and office management functions. This role requires versatility, attention to detail, and excellent communication skills to ensure smooth operations across the board. We're looking for an organized multitasker with the ability to multitask, seamlessly.


Responsibilities:

  • Payroll Management and Execution: Handle payroll tasks efficiently, ensuring accuracy and timeliness.
  • Bookkeeping and Budgeting: Assist in maintaining financial records and budget tracking.
  • New Employee Onboarding: Coordinate job requisitions, schedule interviews, and facilitate the hiring process. Provide and update the employee handbook, manage new hire contracts, and oversee start dates.
  • Office Liaison: Act as the point of contact between the office and the company for various needs, including wifi outages, repairs, and maintenance requests.
  • Communication Facilitation: Serve as a liaison between the CEO and the company, disseminating new policies, company updates, and more.
  • Software and Account Management: Manage software and open accounts within the business's financial parameters.
  • Event Coordination: Assist in planning company trips, including scouting event venues, booking hotels, arranging flights, and managing meal stipends.
  • Calendar Management: Maintain the CEO's calendar, schedule meetings, and provide inbox updates as needed.
  • Office Supplies: Stock office supplies, take inventory, and ensure the smooth functioning of office resources.
  • Employee Support: Address employee administrative questions and concerns, providing solutions and assistance as required.
  • PTO/Vacation Coordination: Manage PTO and vacation requests, process approvals, and ensure coverage for absences. Coordinate with the CEO regarding scheduling conflicts and coverage arrangements.
  • Timekeeping: Keep track of employee punch-ins and punch-outs, ensuring accurate records for payroll purposes.


Requirements:

  • Proven experience in administrative roles, preferably in HR or office management.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • Proactive problem-solving skills and a willingness to take initiative.
  • Flexibility to adapt to changing priorities and needs.
  • Bachelor's degree in Business Administration, Human Resources, or related field preferred.
