JOB TITLE: Property Manager Assistant

DEPARTMENT: Property Management

REPORTS TO: Director of Property Management

FLSA STATUS: Non-exempt

OBJECTIVE: The position supports the effective administration of policies and procedures that promote a well-managed, well-maintained, clean, safe, and customer-friendly environment at all of the Owner's retail buildings to achieve maximum return on investment of commercial real estate assets.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Responsible for assisting the Property Management team to meet tenants' needs and support the company's goals.
  • Establish and maintain open, positive relationships with senior management, property managers, outside vendors, internal customers, and business partners.
  • In the absence of property managers, respond to tenant service requests, coordinate vendor work orders, place follow-up calls to tenants, and send tenant notifications.
  • Assists in the coordination and oversight of capital improvements and major repairs.
  • Professionally resolve property management related disputes.
  • Available for occasional after-hours emergencies.
  • Responsible for maintaining undeveloped land in compliance with city code and coordinating clean up when city notices are received, and notifying inspectors of completion of work
  • Order supplies for office and maintain stock.
  • Assist in the audit of utility bills.
  • In the absence of the Utility Specialist, process bills for review and payment.
  • Participate and complete special projects that the Director of Property Management may assign.
  • Other duties as assigned by management.
Essential Skills, Abilities and Experience
  • To perform this job successfully, an individual should know Microsoft Office: Word, Powerpoint, Outlook, Excel, and Yardi or similar property management software.
  • Excellent communication skills ~ Oral and written bi-lingual skills: English and Spanish
  • Professional office attire and grooming
  • Proactive approach to work
  • High level of interpersonal skills; demonstrating poise, tact, and diplomacy while interacting with tenants, contractors, the public, and the ROP team; customer service.
  • High attention to detail
  • Good time management and organizational skills
  • Good knowledge of general business practices
  • Good organizational skills to handle and prioritize heavy workload and promptly accomplish tasks.
