Responsibilities
- Executes administrative duties on behalf of the executive, encompassing managing a highly dynamic calendar, preparing confidential correspondence, and orchestrating intricate travel arrangements, itineraries, and meeting agendas.
- Takes charge of planning, coordinating, and maintaining their schedule, acting as a pivotal concierge to optimize their time and accessibility, fostering mutually beneficial interactions.
- Represents the executive in direct communication with the firm s leadership team, staff, and external stakeholders, conveying her initiatives and directives effectively.
- Conducts thorough research, triages incoming issues and concerns, and handles sensitive or confidential matters with discretion, determining appropriate actions or responses.
- Bridges communication gaps between the executive and internal departments, exhibiting leadership and fostering trust to uphold credibility within the leadership team.
- Collaborates closely with the executive to ensure they remain well-informed of upcoming commitments and obligations, facilitating seamless coordination and follow-up.
- Demonstrates leadership by cultivating essential relationships vital to the organization's success and managing various impactful projects on behalf of the executive.
- Prioritizes competing demands, adeptly navigating deadline pressures and stakeholder expectations to ensure timely and successful project completion.
- Undertakes additional administrative tasks as assigned or necessary to support the efficient functioning of the office and organization.
Ideal Experience
- Bachelor s degree required with 4+ years of experience supporting executive/c-level leadership.
- Expert-level written and verbal communication prowess.
- Proactive problem-solving with strong decision-making capability
- Meticulous attention to detail and follow-through; perform tasks with accuracy and efficiency.
- Highly resourceful team player, with the ability to work independently.
- Proven ability to manage confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- Forward-looking thinker, who actively seeks opportunities and proposes solutions.
- Comfortable working in a start-up environment.
