We are seeking a highly organized and proactive individual to join our team as an Executive Assistant to the CEO. A successful candidate will play a crucial role in supporting the CEO in day-to-day activities, managing their schedule, and acting as the main point person for business-related matters. The ideal candidate should possess 5 years of relevant experience, have a service-first mindset, be detail-oriented, exhibit a can-do attitude, and be solution-oriented.

Responsibilities:

Manage the schedule, ensuring all appointments, meetings, and events are accurately and efficiently organized.

Serve as the main point of contact for business-related matters, directing the Personal Assistant on events requiring travel and coordinating logistics.

Maintain a deep understanding of the schedule and priorities, proactively anticipating needs and ensuring effective time management.

Communicate and collaborate with the social media team, keeping them informed of schedule changes, and any specific requirements or updates.

Assist in coordinating and organizing business-related events, conferences, and meetings, including logistics, guest lists, and follow-up actions.

Maintain open and effective communication channels with internal teams, external partners, and stakeholders, cultivating positive relationships on behalf of the CEO.

Collaborate with the CEO s Personal Assistant to ensure a seamless workflow and effective coordination of responsibilities.

Stay informed about the CEO s personal assistant duties, ensuring a holistic understanding of her needs and priorities.

Uphold a high level of professionalism, confidentiality, and discretion in all interactions and communications.

Qualifications:

5 years of experience as an Executive Assistant to CEO, preferably in a fast-paced entertainment/investment environment.

Service-first mindset with a strong dedication to meeting and exceeding expectations.

Exceptional attention to detail and organizational skills, with the ability to prioritize and multitask effectively.

Excellent communication skills, both written and verbal, with the ability to articulate ideas and interact professionally with various stakeholders.

Solution-oriented approach, demonstrating the ability to think critically and provide effective solutions.

Proficiency in managing schedules and coordinating logistics using digital tools and software.

Experience in working with social media teams and familiarity with social media platforms.

Ability to maintain discretion and confidentiality when handling sensitive information.

Fast and efficient communicator, capable of responding promptly to business-related inquiries and requests.

A team player with strong interpersonal skills, emphasizing politeness and relationship building.
