Front Office Manager


Job Details

CLA has an immediate need for an experienced front office manager and legal receptionist to join a well-established and fast-paced law firm located in the Columbia, SC area. This position will provide receptionist coverage and assist attorneys and paralegals with administrative duties.


Sample Responsibilities:

  • Pleasantly and professionally answers and properly routes incoming calls, takes clear telephone messages
  • Pleasantly and professionally greets and announces all visitors, clients, third parties, and vendors
  • Picking up and distributing mail to recipients, dropping off mail if necessary
  • Maintaining office supplies
  • Ensures reception, kitchen, conference rooms, and visiting areas are maintained to firm standards
  • Manages office supplies inventory and stock general supplies daily, reviews inventory of incoming supply invoices to ensure delivery of all supplies on order
  • Arrange depositions and meetings
  • Ensures all meeting/conference requirements are coordinated (e.g., Audio/Visual, conference room set-ups and conference room refrigerator is stocked)
  • Acting as a local courier
  • Opens new client files and sets up hard files, as requested
  • Copy all files and documents brought in by clients and ensure that copies are routed to the appropriate case and staff member
  • Prepare letters to clients for case rejection, closing etc
  • Make Banking Deposits
  • Open certain claims in a timely matter including liability/medpay, subrogation claims etc.
  • Schedule client appointments, consultations, and meetings
  • Calendar for supervising attorney
  • Assisting the paralegals and attorneys with correspondence and other administrative duties as assigned
  • Note every client contact in client files in real-time


Minimum and Additional Qualifications:

  • Excellent customer service skills
  • Be able to work as part of a team
  • Able to adapt to a constantly changing, fast-paced environment
  • Possess a valid driver s license and reliable transportation
  • Prior experience in a law firm is preferred
  • Prior experience in customer service is preferred
  • Able to use multi-line telephone system
  • High school diploma is required but an associate s degree or higher is preferred
  • Able to handle sensitive material with discretion
  • Excellent word processing skills and knowledge of the MS Office suite
  • A professional, yet friendly demeanor is required
