Job Purpose:


We are currently seeking a Customer Service Administrator to join our Franklin, MA office team.


As a detail-oriented individual with a can-do attitude, you will play a crucial role in ensuring our customers have a positive experience. Your excellent communication skills, both verbal and written, will be essential in addressing customer inquiries and providing exceptional service.


You will be the problem solver, coming up with creative resolutions to ensure customer satisfaction.


Essential Duties and Responsibilities:

  • Interacts with customers via telephone, email, online chat, or in person to provide support and information on products or services.
  • Build sustainable relationships and trust with customer accounts through open and interactive communication.
  • Receives & confirms orders and maintains accurate entry of sales orders & customer information into the system.
  • Prepare shipping documents, finalize invoice and any other documents as required by the Customer.
  • Follow-up and handle overdue payments.
  • Check purchase order conditions, customer credit limit & payment due dates (product, price, incoterms & payment)
  • Follow-up of the shipment at final destination according to Incoterms.
  • Follow-up on upcoming shipments and orders.
  • Check availability on truck/container.
  • Handle documents based on payment conditions.
  • Communicates with Planning on fulfillment of orders & interfaces with other departments as needed.
  • Ensures that appropriate actions are taken to resolve customers problems and concerns.
  • Performs other related duties as assigned.


Education and/or Work Experience Requirements:

Qualifications include:

  • 3-4 years of proven Customer support experience or experience as a Client Service Representative.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office Word, Excel and Outlook)
  • Must be able to meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Strong phone contact handling skills and active listening.
  • Comfortable working in an intercultural work environment.
  • Bilingual Spanish/English a plus, not required.
  • High school diploma or GED required.

Physical requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Fine motor skills are utilized when typing and using various office machines.
