Are you ready to join a distinguished law firm as a Legal Administrative Assistant, where you'll play a vital role in providing top-tier administrative support to a group of attorneys. Reporting directly to the Firm Administrator, you'll engage in a diverse range of tasks critical to the smooth operation of our firm. While the responsibilities outlined below offer insight into the role, please note that duties may evolve as the needs of the firm change.


Key Responsibilities:

  • closely with the Managing Member in an Executive Assistant capacity.
  • the Firm Administrator by handling various tasks, such as check deposits, mail management, and procurement of supplies.
  • attorneys' calendars meticulously, coordinating meetings and travel arrangements both in-person and virtually.
  • in preparing legal pleadings, presentations, summaries, and electronic filings with regulatory agencies.
  • accurate attorney contacts and filing systems, ensuring accessibility and organization of both physical and electronic records.
  • conflict check processes, monitor responses, initiate new matters, and aid in drafting engagement letters.
  • record attorney time entries and meet all associated deadlines.
  • to the monthly client billing process.
  • backup assistance to the primary Receptionist/Legal Administrative Assistant as needed.
  • check requests for expense and travel reimbursements, maintaining a detailed summary in Excel.
  • and format various documents, ensuring accuracy and adherence to established standards.
  • professional memberships, bar associations, and related attorney activities meticulously.
  • and distribute news and regulatory updates to attorneys via email.
  • in maintaining and updating the firm's website.


Requirements:

  • degree from a four-year accredited college or university OR a minimum of four years of relevant experience, preferably in a law firm setting.
  • attention to detail and organizational skills are paramount.
  • to manage multiple projects simultaneously while meeting tight deadlines in a fast-paced environment.
  • proficiency with Adobe, Excel, Microsoft Office Suite, Pages, and Teams.
  • experience with PanTerra/Streams and a legal timekeeping and billing platform (e.g., Caret/Zola).
