Executive Office Assistant (Nonprofit, Hiring ASAP!)

The Choice, Inc. is seeking an executive assistant/executive office assistant for our amazing nonprofit client- this organization supports a broad range of mission-focused organizations, in collaborating and developing tools and resources for their operations and leadership.


This position will start on a temporary basis, but there is absolutely opportunity for temporary to hire, if it is a good fit.


The Executive Assistant will provide critical daily support to the C-suite leaders in the organization. This position involves a combination of organizational, communication, and interpersonal skills, as well as the ability to handle confidential information with discretion.


The ideal candidate will have:

  • Previous administrative experience, supporting senior staff members. Must have prior experience with calendar management, travel coordination, and managing special projects (5 years+ of related professional experience)
  • Previous experience working for a nonprofit organization or strong professional interest in working for a nonprofit.
  • Immediate ability/ability to begin a position quickly- this is an urgent hiring need
  • Able to work in downtown DC office at least twice a week (hybrid schedule).



Job Duties will include:

  • Coordinate with the Chief of Staff to the President & CEO on all matters that require joint C-Suite and CEO participation to maintain processes that improve office functionality, efficiency, and professionalism.
  • Plans and maintains an accurate calendar of meetings and other commitments for the C-Suite team.
  • Draft and edit correspondence, memos, and documents on behalf of executives.
  • Assist in the planning and coordination of special projects, events, or initiatives.
  • Coordinate travel arrangements, itineraries, and accommodation logistics.
  • Screen and direct phone calls, emails, and other communications appropriately.
  • Ensure that the C-Suite is provided with briefing materials for each event or meeting by coordinating with their direct reports or other staff; brief the team on all relevant scheduling activities and requests and responds to requests accordingly.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Schedule all meetings and briefings involving the C-Suite with their respective teams or external partners or associates.
  • Provide scheduling, note taking and tech support for internal committees led by C-Suite.
  • Provide technical support to C-Suite.
  • Provide ad hoc administrative support to the operations team.
  • Maintain contact lists and various databases.
  • Maintain office files, both physical and digital for documents and records.
  • Performs other projects as needed
