About the role

We are seeking to hire an experienced Purchasing Manager with extensive experience in the Interior Design industry to execute and manage the firm's in-house procurement and expediting division. In collaboration with the design team, coordinate all furnishings to be purchased and installed for multiple client projects running parallel.


Work schedule:

  • Remote with 1 day in the office once a month.
  • Days of week: Wed-Fri based on needs of project
  • Detailed invoice for services, due the end of each month


Responsibilities include:

  • Responsible for inventory
  • Place orders on behalf of the client and follow up with orders to ensure we are aware of current lead times or any delays/issues.
  • Email and phone coordination with vendors, showroom reps, delivery companies, and receiving warehouses as needed to meet deadlines.
  • Prepare and process purchase orders
  • Maintain records of all transactions, purchase orders, receipts, and payments
  • Schedule and verify purchase deliveries
  • Set up client storage units
  • Responsible for shipping and customs
  • Responsible for all damages, returns and claims
  • Manage relationships with key suppliers to maintain quality of goods and timely delivery
  • Communicate clearly to establish expectations on the delivery schedule and proactively manage all participants of the supply chain to guarantee the successful completion of the project
  • Manage the reconciliation efforts, which include resolving any discrepancies, obtaining all supplier and carrier invoices and/or credits, and submitting for immediate processing
  • Meet project deadlines
  • Collaborate with Bookkeeper as needed in keeping project monies accurate based on Client approvals, reselections (due to expired reserves, etc.) and payments received.


Requirements:

  • Bachelor s degree
  • 5+ years professional administrative coordination/management
  • Understanding of the Interior Design Industry and the to-the-trade purchasing environment
  • Excellent written and verbal skills
  • Understanding of basic accounting principles
  • Acumen with numbers
  • High proficiency in Microsoft Office Suite, especially Excel
  • Proficiency with Design Manager Program
  • Ability to prioritize and manage work while wearing many hats
  • Strong sense of ownership and commitment to excellence


Details:

  • Contractor position
  • $85 -$95 per hour, depending on experience
  • 20-30 hours per week
  • Hybrid: remote and in-office work
