Job Description:
We are seeking a Finance and Accounting Assistant to join our fast-paced department. This role is crucial for meeting clients regulatory deliverables and bookkeeping needs, as well as for running our own client service business. The ideal candidate will have a solid background in finance and accounting, with experience in financial statement preparation and a knack for managing multiple deadlines. Additionally, this individual will assist with maintaining billing records, sending and tracking payments, and document management.

Key Responsibilities:
Financial Statement Preparation:

  • Prepare simple and complex financial statements for various entities and jurisdictions.
  • Collect information for tax and informational reporting, ensuring compliance with deadlines.
Corporate Administration and Bookkeeping:
  • Manage bookkeeping and recordkeeping for firm-affiliated corporate administration entity and some private client entities.
  • Assist in daily management of corporate administration entity operating in multiple international jurisdictions.
  • Process and reconcile payments in QuickBooks and trust accounting system.
  • Maintain confidentiality due to the nature of our high-net-worth clientele.
Administrative Tasks:
  • Communicate with clients, accountants and attorneys to obtain required documents.
  • Correspond with clients and registered agents regarding documentation requests.
Electronic and Paper Filing:
  • Maintain electronic filing systems, record information, and update paperwork.
  • Prepare and edit documents, including reports and client communications, to ensure professional language and formatting.
Special Project:
  • Evaluate alternative bookkeeping systems to QuickBooks with enhanced capabilities.
  • Manage the migration of our books to the chosen new system.
Job Requirements:
  • Education: BBA or MBA degree preferred.
  • Experience: Prior experience in finance and accounting. Familiarity with financial statement preparation and international banking transactions highly desirable.
  • Skills:
    • Reading, understanding and preparing financial statements
    • Knowledge of basic accounting principles
    • Strong adherence to deadlines and meticulous record-keeping.
    • Proficient in QuickBooks and Excel.
    • Excellent attention to detail and accuracy.
    • Capable of managing multiple priorities.
    • Effective communicator, fluent in English. Spanish and/or Portuguese language skills are a huge plus.
Workplace location requirements
Requires in-office work at the NYC office daily.
